Job Description

We are seeking an Executive Personal Assistant to support our client's Director of New Business Development!

Location: US Client (8:30am to 5:00pm EST (fixed hours) )

Work arrangement: Remote

Type: Contract, Full-time (40 hrs/week)

Start: 3 Aug 2026 (target start)

About the Role

We are looking for a highly organized, proactive, and detail-oriented Executive Personal Assistant who thrives in a fast-paced environment and enjoys being a trusted partner to a senior leader. You'll manage priorities, coordinate communication, support admin/data entry, and assist with special projects, while maintaining absolute confidentiality and professionalism.

Key Responsibilities

  • Executive Support & Administration
  • Manage confidential information with discretion and professionalism
  • Screen and prioritize emails, calls, and correspondence
  • Coordinate meetings with customers, suppliers, and partners
  • Arrange domestic and international travel itineraries, logistics, and accommodations
  • Project & Order Coordination
  • Track project timelines, follow-ups, and business development initiatives
  • Track pending orders and communications to keep everything on schedule
  • Enter new sales orders and purchase orders accurately and efficiently
  • Documentation & Systems
  • Create, edit, and format documents, spreadsheets, and reports
  • Conduct research and compile information for opportunities and special projects
  • Maintain customer/prospect databases, digital filing systems, and records
  • Events & Stakeholder Support
  • Support trade show planning, scheduling, and follow-up activities
  • Provide responsive support with a customer-service mindset

Skills & Experience

  • 4+ years experience as an Executive Assistant / Personal Assistant / Administration Assistant (or similar)
  • Excellent written and verbal English communication
  • Strong organizational skills, time management, and ability to juggle priorities
  • Advanced Microsoft Office skills, especially: Outlook
  • Excel
  • Word
  • Professional, dependable, and confident working independently with minimal supervision
  • Bachelor's degree highly preferred
  • Highly Desirable
  • Exposure to international trade / import-export / logistics / supply chain
  • Ocean freight, shipping documentation, customs coordination experience
  • Experience supporting a senior executive / business owner / director
  • CRM and ERP systems experience
  • Trade show / event coordination experience
  • Experience in companies handling bulk food ingredients / agricultural commodities (nice to have)
