Job Objective
This role requires exceptional organizational skills, operational awareness, and the ability to manage fast-paced, complex workflows. The EA acts as a strategic partner to the COOhandling communication, coordination, executive scheduling, reporting, and cross-departmental alignment.
Duties and Responsibilities
- Executive Support & Administration
- Manage the COO's calendar, travel, and daily agenda across multiple time zones.
- Screen, prioritize, and respond to emails, calls, and internal communications.
- Prepare meeting briefs, presentations, and operational summaries.
- Support daily executive decision-making by ensuring timely access to information.
- Operations Coordination (Multi-Unit Restaurant Environment)
- Track branch performance reports (sales, labour, food cost, compliance, guest satisfaction).
- Coordinate follow-ups with Group Heads, SRM, and Store Managers.
- Assist in compiling KPI dashboards and reviewing materials for weekly/quarterly operations meetings.
- Maintain oversight of project timelines (openings, remodels, audits, marketing rollouts).
Cross-Department Support
- Serve as liaison between the COO and departments: Operations, HR, Training, Marketing, Supply Chain, and Finance.
- Ensure teams receive clear direction and deadlines from the COO.
- Draft memos, SOP summaries, and internal announcements.
Project & Process Management
- Manage special initiatives such as system rollouts, menu updates, or operational audit programs.
- Track action items from executive meetings and ensure accountability across teams.
- Support the development of process improvements for efficiency and consistency across 100+ branches.
Communication & Stakeholder Management
- Represent the COO in internal and external communications when needed.
- Maintain strong relationships with regional leadership and key vendors.
- Assist in preparing communication for franchisees (if applicable).
Confidentiality & Executive Judgment
- Handle sensitive operational, financial, and personnel information with absolute discretion.
- Provide strategic insight when appropriate; anticipate COO needs and challenges

Qualifications
- Bachelor's degree in Business Administration, Hospitality Management, Operations Management, Communications, or related fields.
- Master's degree or additional certifications (e.g., Project Management, Operations, Executive Assistant Certification) is an advantage but not required.
- 35 years of experience as an Executive Assistant, Administrative Manager, or Operations Coordinator.
- Experience supporting C-level executives (COO, CEO, or Operations Director) is strongly preferred.
- Experience in multi-branch retail, restaurant, food service, or hospitality operations is a significant advantage.
- Proven history of handling high-volume, fast-paced, multi-stakeholder operations.
Working Conditions
- Willing to be assigned to other areas, do field work, and travel to provincial branches as needed
