POSITION PURPOSE
The Executive Assistant & SMART Program Coordinator will provide high-level administrative support to the Managing Director and Business Development Head in managing day-to-day operations and ensuring seamless execution of strategic priorities. The role also serves as a key liaison among project teams, management, and support units in the effective implementation of SMART Management System tools and methodologies to promote data-driven performance monitoring and continuous improvement.
ROLES AND RESPONSIBILITIES
Executive Assistant
- Provide general executive support to the Managing Director as required
- Proactive and independent management of partners calendar and contact database
- Coordinate meetings and organize required materials
- Prepare presentations, minutes, reports, and correspondence as needed
- Act as the primary point of contact for both internal and external communications, including responding to emails and handling requests
- Prepare and submit expense reports
- Organize and maintain filing systems
- Handle confidential information with discretion.
SMART Program Coordinator
- Track and analyze project and departmental KPIs based on SMART criteria
- Prepare monthly and quarterly performance reports for management, highlighting trends and areas for improvement
- Oversee the implementation and maintenance of SMART tools and templates, and coordination with teams to ensure effective usage and provide technical support
- Serve as a focal point for KPI and SMART coordination among departments.
- Facilitate performance review meetings and communicate key findings to management and teams.
- Identify opportunities to streamline reporting processes and refine KPIs.
- Promote a performance-oriented culture through ongoing monitoring and communication.
- Maintain organized project files and assist in preparing materials for audits and presentations.
- Support logistical arrangements for meetings and training related to SMART implementation.
QUALIFICATIONS:
- Bachelor's degree, preferably in Business Administration, Management, Commerce, Accounting, Mass Communication or other relevant discipline
- Minimum of two (2) years related experience
- Strong time-management skills with the ability to prioritize tasks effectively
- Ability to adapt quickly to changing priorities in a fast-paced environment
- Excellent written and verbal communication skills in English
- Able to work independently and collaborate with individuals from different cultural/national backgrounds
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office productivity tools
- Demonstrated ability to maintain confidentiality regarding sensitive information
