Job Description

Key Responsibilities

  • Manage and maintain the executive's calendar, appointments, and meetings
  • Handle inbox management, including sorting and prioritizing emails and responding on behalf of the executive when appropriate
  • Draft and format documents, proposals, and communications for internal and external use
  • Coordinate with clients, partners, and vendors on behalf of the executive
  • Assist in managing mortgage application pipelines and follow-up communications with clients
  • Perform CRM updates and maintain accurate client records
  • Organize digital files and folders using Google Drive or other cloud-based tools
  • Handle personal tasks as needed (email management, reminders, personal appointments, etc.)
  • Track tasks, deadlines, and projects using task management tools
  • Other ad hoc administrative duties as needed

Qualifications

  • At least 2 years of experience as a virtual assistant, executive assistant, or in a similar remote support role
  • Excellent communication skills in English (both written and verbal)
  • Strong organizational skills and high attention to detail
  • Ability to work independently and handle multiple tasks with minimal supervision
  • Proficient with Google Workspace (Docs, Sheets, Calendar, Gmail, Drive)
  • Familiarity with CRM platforms (Velocity or any other similar)
  • Experience in the mortgage, financial, or real estate industry in Canada is a plus. required
  • Social Media Management
