Key Responsibilities:
Administrative & Calendar Management
- Manage and maintain the Executive Management's calendar with accuracy and foresight.
- Coordinate meetings, appointments, and travel plans, ensuring alignment with business priorities.
Stakeholder Coordination
- Serve as the first point of contact for internal and external stakeholders.
- Facilitate seamless communication across departments, clients, and business partners.
- Track action items and ensure team accountability on deliverables and deadlines.
Meeting & Communication Support
Prepare meeting agendas, presentations, and briefing documents.
- Record minutes, monitor follow-ups, and oversee execution of action plans.
- Organize cross-functional meetings and virtual sessions effectively.
Strategic Support
- Conduct research and compile insightful reports to support executive decisions.
- Maintain strict confidentiality and use discretion when handling sensitive matters.
- Provide ad hoc project support where required.
Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role supporting senior leadership.
- Strong written and spoken English skills.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Office Suite and/or Google Workspace.
- Ability to juggle multiple priorities and adapt to shifting needs.
- Demonstrated professionalism and discretion in all interactions.
Preferred Skills
- Experience working in a high-pressure, project-based, or fast-paced environment.
- Familiarity with project management tools (e.g., Monday.com).
- Exposure to or experience in construction, engineering, or other technical industries.
- Business Development Management experience is a plus particularly helpful in supporting strategic initiatives, partnerships, and growth efforts
