Our client is a US-based, private equity backed technology and managed services company headquartered in Illinois. Their CEO runs revenue, operations, marketing, and investor reporting, all while sitting in 4 to 6 meetings a day. He books his own flights, plans his own trips, and triages his own inbox. That ends with you.
The Role We're hiring an Executive Assistant to the CEO. This is a full-time role on US Central Time business hours where you'll own everything around him, his inbox, his calendar, his travel, and his follow-ups, so his hours go back into deals, clients, and the board. You'll also extend coordination support to the CFO and COO, with the CEO as your priority principal.
This isn't a wait for instructions role. He's a hands-on executive who gives clear direction and expects real ownership in return. You'll run his day, chase what's stuck, and take on detail-heavy projects that keep the business clean behind the scenes.
What You'll Do Executive Support (Primary Focus)
- Triage the CEO's inbox daily: flag what actually needs him, draft routine replies, and filter out vendor and sales noise
- Own his calendar so internal teams and clients book time through you, protecting focus blocks around a packed meeting schedule
- Plan travel his way: research and present flight, hotel, and timing options for him to choose from, then book everything and build the full itinerary
- Coordinate multi-stop client trips end to end, meetings, lunches, dinners, and logistics, so he just shows up
- Handle conferences and speaking engagements: registration, travel, prep materials, and follow-ups
- Track and chase internal action items so initiatives don't stall in email threads
- Provide calendar and coordination support to the CFO and COO
- Support private equity reporting: gather inputs, format decks and reports, and keep the reporting cadence on rails
Special Projects
- Own a rotating set of process-driven cleanup and organization projects alongside your daily support work
- First up: a cleanup of the company's Autotask platform (their SaaS tool for client contracts, billing, and ticketing), reviewing which contracts are marked active and correcting records against clear instructions
- Expect similar detail-heavy mini projects on an ongoing basis, with clear directions and full ownership
You're a Great Fit If You
- Have 2+ years of experience as an Executive Assistant, ideally supporting a founder, CEO, or C-level executive with US or other international clients
- Write and speak excellent English - you'll be drafting emails in the CEO's voice and speaking with his clients and team
- Are confident working inside SaaS platforms and handling structured data cleanup - you don't need to know Autotask, but you learn tools fast and enjoy bringing order to messy systems
- Are fluent in Microsoft 365 and Google Workspace, and comfortable with CRMs, expense tools, and modern AI tools for speed
- Are detail-obsessed and consistent - you follow instructions precisely, track everything, and never let items fall through the cracks
- Are proactive and judgment-driven - you anticipate needs, flag issues early, and know when to ask versus when to act
- Can work full US Central Time hours (night shift PH time) with reliable internet and a dedicated workspace
Nice to Have
- Experience supporting executives at PE-backed or fast-scaling companies
- Familiarity with Autotask or similar PSA, ticketing, or billing platforms
- Experience coordinating support across multiple executives
