We're hiring an
Executive Assistant to support leadership with the day-to-day admin that keeps operations moving, and to help with an important priority: an upcoming software crossover. If you've helped a business transition from one system to another (project management, CRM, estimating, accounting, etc.), you'll stand out. You'll be trained on JobTread.

What This Role Looks Like
This is not a sit and wait for tasks VA role. You'll be trusted with real ownership: keeping calendars organized, following up on action items, helping documents flow, keeping files clean, and making sure important details don't get dropped. You'll also play a key support role in helping us migrate and standardize workflows inside JobTread.
Key Responsibilities (Standard VA / Executive Assistant Support)
- Manage calendars, scheduling, confirmations, reminders, and meeting coordination
- Inbox support: sort priorities, draft replies, track threads, and close loops
- Maintain organized digital files for projects, vendors, contracts, and job documents
- Build and maintain simple trackers (AR follow-up, tasks, deadlines, paperwork status, etc.)
- Prepare documents: proposals, forms, letters, basic spreadsheets, and meeting notes
- Support admin workflows tied to jobs (sub paperwork, COIs, receipts, job photos, client docs)
- Handle routine coordination: vendor calls, confirmations, appointment setting, follow-ups
- Create structure: checklists, recurring task systems, and clear documentation
Software Crossover Support (JobTread Transition + Systems Cleanup)
- Support the planning and execution of the software changeover (timeline, task list, ownership)
- Help clean up data before migration (contacts, projects, templates, documents)
- Assist with importing/organizing information in JobTread and keeping it consistent
- Build simple SOPs, checklists, and how-to guides so the team can adopt the system
- Track issues, document solutions, and help maintain momentum during the transition
- Coordinate communication between leadership and the team so implementation stays on track
What We're Looking For
- 2+ years as a VA, Executive Assistant, Operations Assistant, or admin support professional
- Strong follow-through and attention to detail (you finish the middle, not just the start)
- Confident communicator (clear, calm, respectful, and proactive)
- Tech-comfortable and fast to learn new platforms
- Strong organization habits: clean files, reliable trackers, consistent naming and documentation
- Experience supporting construction, trades, or project-based businesses is a plus
- Experience facilitating software transitions is a major plus (CRM, PM tools, accounting, etc.)
- Familiarity with tools like Google Workspace and QuickBooks Online is a plus
- Familiarity with platforms like Procore/CoConstruct/Avetta/ISNetworld is a plus (trainable)

Compensation
$7 to 10 p/h based on experience.
