Executive Assistant
Administrative & Operational Support for Busy Founders and Executives
Primary Goal
Administrative and logistical support for a founder or executive. Keep the executive organized, responsive, and focused on high-value work by owning scheduling, communication coordination, travel planning, and administrative workflows.
Key Responsibilities
- Calendar & Scheduling: Manage executive calendars, coordinate meetings, prioritize commitments, and eliminate scheduling conflicts.
- Travel & Logistics: Book flights, hotels, and transportation while preparing detailed travel itineraries.
- Communication Management: Manage inbox correspondence and coordinate with internal teams and external partners.
- Meeting Preparation: Prepare agendas, notes, and follow-ups to ensure productive meetings.
- Administrative Operations: Document formatting, expense reporting, reimbursements, and digital file organization.
Experience
- 2–3+ years supporting executives, founders, or senior leadership in an Executive Assistant or similar administrative operations role.
- Core Tools & Platforms (Required to have intermediate to advanced skills with at least one tool from each tool type)
- Collaboration: Google Workspace, Microsoft 365
- Communication: Slack, Zoom, Google Meet, Loom
- Design: Canva or similar to AI
- Productivity: ChatGPT, Gemini
