Job Description:
We are seeking a proactive and detail-orientedExecutive Assistantto support the operational and administrative functions of an organization delivering services within theNDIS (National Disability Insurance Scheme)framework in Australia. This role is ideal for candidates with priorNDIS sector experienceand proven success inremote executive support, who thrive in a fast-paced, client-focused environment.
The EA will work closely with senior leadership to streamline administrative operations, manage internal communications, and ensure compliance with NDIS documentation and service standards.
Responsibilities:
- Provide direct executive support including calendar management, inbox triage, scheduling, and meeting coordination.
- Maintain and update client records, service agreements, and NDIS-related documentation.
- Assist in NDIS compliance tasks, including audit preparation and service delivery reporting.
- Coordinate team communication, prepare internal and external correspondence, and assist in project tracking.
- Support the onboarding of new clients and team members, including documentation setup and access management.
- Liaise with rostering or support coordinators to ensure alignment across shifts, services, and client communications.
- Maintain organized digital filing systems and support executive-level decision-making through timely information flow.
- Track action items and follow-ups for management, ensuring deadlines and priorities are met efficiently.
Requirements
- 3+ years of experience as an Executive Assistant or Administrative Coordinator, preferably within the NDIS or healthcare/disability services sector.
- Deep understanding of the NDIS environment, including terminology, participant records, and service provider responsibilities.
- High-level proficiency with Google Workspace or Microsoft Office, digital communication tools (e.g., Slack, Zoom), and NDIS-related platforms (e.g., ShiftCare or SupportAbility desirable).
- Exceptional organizational and time management skills, with the ability to handle sensitive data with discretion.
- Excellent written and verbal communication abilities, and comfortable liaising with internal and external stakeholders at all levels.
- Self-starter who thrives in a remote work environment and can manage competing priorities independently.
