About the position

The Executive Assistant (EA) to the Managing Director (MD) provides high-quality executive and operational support to ensure the MD can operate effectively across a broad remit, including commercial leadership, organisational performance, and people operations.

This is not a traditional diary-and-inbox-only EA role. The successful candidate will be highly organised, proactive, and comfortable operating with structure, follow-through, and data. They will play a key role in ensuring that actions are tracked, priorities are executed, and core people and performance processes run smoothly across the business.

The role includes significant involvement in HR administration, leadership support, performance reporting, and project tracking, and will suit someone with a strong operational mindset and attention to detail.

Responsibilities

Executive Support

  • Manage the MD's calendar, scheduling, and meeting coordination to protect time for priorities
  • Prepare meeting packs including agendas, pre-reads, decision points, and key questions
  • Capture meeting outcomes and ensure clear follow-up of action points, owners and deadlines
  • Track and chase completion of actions assigned to others, and complete assigned actions personally where required
  • Coordinate travel and logistics for meetings, events, and offsites as needed

HR Administration / People Operations Support

  • Support hiring administration including:
  • Issuing job offers
  • Drafting contracts and supporting documentation
  • Conducting background checks and contacting references
  • Maintain accurate employee records and documentation
  • Support onboarding logistics and ensure new starters have required access and resources
  • Maintain an up-to-date org chart and reporting lines
  • Track probation timelines and ensure probation reviews are scheduled and completed
  • Maintain a central schedule for performance reviews (probation, 6-month, annual)
  • Ensure line managers complete reviews on time and submit summaries of outcomes
  • Maintain consistent documentation of review outcomes, actions, and development plans
  • Track follow-up actions from performance reviews (training, role changes, progression commitments)

Leadership Team Support & Accountability

  • Support the MD in preparing for regular leadership meetings by:
  • Gathering updates from department heads
  • Preparing structured agendas
  • Summarising key metrics, risks, and decisions required
  • Maintain an action tracker for leadership meetings and follow up with owners to ensure progress
  • Support quarterly planning cycles (OKRs) through planning timelines, documentation, reminders and completion tracking
  • Produce short weekly summaries for the MD covering:
  • Wins/progress
  • Risks/blockers
  • Key metrics movement
  • Upcoming deadlines

Business Operations & Process Management

  • Maintain and improve internal operating procedures, templates, and workflows
  • Support implementation of process improvements across departments
  • Create and maintain standard templates for recurring tasks (briefs, reporting formats, review documents)
  • Coordinate cross-functional tasks where ownership is unclear and ensure progress is maintained
  • Support internal change initiatives by ensuring communication, documentation, and follow-through are in place

Data, Reporting & Insight

  • Maintain and update company dashboard of key performance indicators
  • Track and report on organisational KPIs and projects across the organisation
  • Produce monthly KPI summaries with brief commentary on what has changed and why
  • Support consistency of reporting by ensuring teams submit updates in the required format and on time
  • Audit reporting quality (missing data, inconsistent definitions, unclear ownership)
  • Conduct occasional checks that the expenses policy is being followed, flagging issues to the MD where appropriate
  • Ad hoc investigations and data reporting

What we're looking for:

  • Bachelor's degree from a top university
  • Excellent spoken and written English
  • Strong organizational skills
  • International experience (e.g. having studied, lived or worked in international contexts) is a plus
  • Passion for working with young people and providing opportunities for research-based learning
