Responsibilities
- Team Leadership and Supervision
- Supervise and support a team of administrative assistants handling various client and internal administrative functions.
- Conduct regular team meetings, one-on-ones, and performance reviews to provide coaching, feedback, and professional development.
- Manage attendance, scheduling, and workload balancing among team members.
- Client Management and Support
- Serve as the primary point of contact for key client accounts, ensuring satisfaction and timely response to administrative needs.
- Coordinate with clients to clarify requirements, manage expectations, and provide updates on deliverables.
- Address and resolve client concerns or escalations promptly and professionally.
- Ensure consistent service delivery across all client accounts supported by the team.
- Process Management and Improvement
- Review and streamline administrative workflows to increase efficiency and accuracy.
- Implement standardized documentation, filing, and reporting systems.
- Develop and maintain operating procedures and best practices for administrative operations.
- Identify process gaps and recommend or implement corrective actions.
- Reporting and Coordination
- Prepare and present regular reports on team performance, client satisfaction, and productivity metrics.
- Training and Development
- Onboard new administrative assistants and ensure they are trained in company processes, tools, and client protocols.
- Provide ongoing training to enhance team members administrative, communication, and client management skills.
- Encourage cross-training to build team flexibility and coverage capacity.
- Tools and Systems Management
- Ensure all team members are proficient in office productivity tools (e.g., Microsoft 365, Google Workspace, project management systems, CRM tools).
- Maintain data accuracy and confidentiality in all systems used for client or internal operations.
Deliverables
- Monthly performance and productivity reports.

- Updated standard operating procedures (SOPs) and process documentation.
- Training and onboarding materials for administrative assistants.
