Executive Assistant

Schedule: Night Shift, 8:00 AM to 5:00 PM EST

Employment Type: Full-Time

Role Overview

This is a modern CEO office where every role is paired with a digital employee. Your role is to orchestrate both, creating clarity, protecting my time, and driving execution in a fast-moving global environment.

Key Responsibilities

• Manage CEO inbox, calendar, priorities, and scheduling across time zones
• Plan and execute travel, itineraries, logistics, and expenses
• Analyze emails, understand context, and draft first responses using AI where appropriate
• Prepare presentations, reports, and executive briefings leveraging AI too
• Support CEO on strategic initiatives and track execution with systems and automation
• Act as communication bridge with leadership, team, and external partners
• Capture notes, maintain action trackers, and ensure follow-through across human and AI workflows

Must-Have Qualifications

• 5+ years supporting a CEO or C-suite executive
• Strong calendar, inbox, and priority management experience
• AI-first mindset, actively using tools like ChatGPT, Claude, or Copilot
• Highly organized with exceptional attention to detail
• Strong follow-up and follow-through mindset, nothing falls through the cracks
• High fact-finding ability, asks the right questions and seeks clarity before acting
• Ability to leverage AI agents and automation to improve speed and quality of work
• Excellent written and verbal communication
• High proficiency in Microsoft Office Suite, Outlook, OneDrive, SharePoint, and Copilot
• Experience with Teams and Zoom
• Able to manage multiple priorities with speed, structure, and accuracy
• High discretion, sound judgment, and ownership mindset
• Dedicated home office setup and availability for night shift (EST)

Nice-to-Have Qualifications

• Project management certification (PMP, Agile, or equivalent)
• Experience in fast-paced, global or BPO environments
• Background in process improvement or operations coordination
• Strong analytical and problem-solving mindset
• Exposure to AI workflow automation tools
