Job Description

Piedmont Avenue Consulting, Inc. (www.PiedmontAve.com) is a boutique business and marketing consulting firm based in the San Francisco Bay Area. We are seeking a remote, full-time Executive Assistant to support our U.S.-based consulting, marketing, and events team.

This is a professional, client-facing role supporting real business operations, including communication, scheduling, events, financial coordination, and marketing support. It is not a basic administrative position.

You will support consulting projects across a wide range of industries, including technology and startups, hospitality, restaurants, food and beverage, real estate, construction, law firms and professional services, healthcare and wellness, as well as finance, fashion, and consumer brands. Clients are primarily based in San Francisco and Los Angeles, with some global activity.

Work Schedule

  • Full-time, Monday through Friday (U.S. workweek)
  • 8 hours per day within U.S. business hours, typically between 8:00 AM and 6:00 PM PT
  • Several hours per day on Zoom or video calls with team members and clients
  • Primary focus is supporting U.S.-based clients and communications
  • Occasional coordination across time zones when the founder is traveling in Asia

Key Responsibilities

Executive Assistant and Operations

This role serves as the operational backbone of the firm, supporting day-to-day execution across client work, internal coordination, and leadership support.

  • Manage email communication with accuracy and proper context
  • Handle calendars, scheduling, reminders, and follow-ups across time zones
  • Track leads, client communications, and partnerships
  • Handle inbound and outbound calls professionally
  • Attend Zoom meetings, prepare agendas, and capture clear notes

Events and Project Coordination

The firm also produces live and virtual professional events through Professional Connector (www.ProfessionalConnector.com).

  • Coordinate events and projects from planning through execution
  • Manage Eventbrite, Meetup, calendars, and internal systems
  • Track logistics, pricing, dates, times, and locations
  • Anticipate issues early and resolve them proactively

Marketing Support

This position provides meaningful exposure to marketing strategy and execution for both client engagements and company initiatives. You will support real campaigns, event promotion, and business development efforts, gaining hands-on experience across multiple industries.

  • Support social media posts, event promotion, and marketing campaigns
  • Assist with content coordination, announcements, and outreach
  • Help promote both client initiatives and company events
  • Ensure accuracy of names, dates, links, and messaging across materials

Communication and Financial Support

Accuracy matters. We use templates and systems; however, all information must be double-checked before sending.

  • Write professional U.S.-style business emails
  • Review all outgoing communication for accuracy
  • Assist with invoices, payments, and expense tracking
  • Maintain organized digital files and shared systems

Why This Role Is Different

You will work closely with the founder and gain direct exposure to how a consulting firm operates across strategy, marketing, events, and operations. This is not a side job. It is a full-time role with real responsibility, daily collaboration, and long-term growth.

Team Culture

You will work directly with David Mitroff, Ph.D., Founder and Chief Consultant. David values professionalism, critical thinking, and follow-through, and he also enjoys cracking jokes while keeping the environment focused and human.

Requirements

  • Fluent English with strong written and verbal communication
  • Comfortable on video calls
  • Strong attention to detail and organization
  • Professional phone presence
  • Ability to work independently in a fast-paced environment

Ideal Candidate

  • Interested in marketing, events, and business operations
  • Polished communicator with strong follow-through
  • Organized, reliable, and accountable
  • Experience in operations, coordination, or business support
  • Familiarity with Google Workspace, Monday.com, and similar tools
  • Familiarity with U.S. business culture is helpful

This is a full-time role for someone seeking long-term growth and real responsibility.
