Overview
You will serve as the operational backbone for an executive producer, managing the complex logistics that drive film and television production. This role places you at the heart of Hollywood's creative process, requiring high-level organization and discretion to bring world-class projects to life.
Schedule:
- Full-time (35 hours per week); Monday through Friday, 9:00 AM to 5:00 PM Pacific Time (1 hour unpaid break from 1:00 PM to 2:00 PM)

Responsibilities
- Manage executive and client calendars, coordinating industry meetings, calls, and appointments with casting directors and producers
- Coordinate comprehensive travel arrangements including flights, hotels, ground transportation, and car services for business trips
- Monitor and triage email communications, draft responses, and maintain timely follow-up on submissions to industry contacts
- Track tasks, deadlines, and deliverables across multiple concurrent film and television projects
- Organize digital files, documents, and shared drives to ensure quick accessibility of project materials
- Prepare detailed meeting notes and action lists following client interactions and industry meetings
- Handle light bookkeeping duties including payment follow-up on behalf of clients
- Maintain databases of talent, producer, and buyer contacts within the entertainment industry
- Assist with pitch material preparation, research industry news, and monitor deal opportunities
- Schedule business meetings, industry lunches, dinners, and networking appointments
Requirements
- 3+ years of executive assistant experience supporting senior-level executives
- Excellent command of English with strong written and verbal communication skills
- Exceptional organizational abilities and proactive time management
- High level of discretion and confidentiality when handling sensitive information
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Ability to work independently and anticipate needs before being asked
- Bonus if you have entertainment industry experience or familiarity with production workflows
- It helps if you've worked in high-volume office environments or supported C-suite executives
- Experience with script coverage, development tracking, or production processes is a significant plus
