We are currently looking for a
VIRTUAL EXECUTIVE ASSISTANT who will provide
high-level global support to multiple top-level executives (23 CEOs and other senior officials) from our North America-based clients.
Job Overview:
We are seeking a
highly experienced, tech-savvy, and detail-oriented EXECUTIVE ASSISTANT to deliver administrative, operational, and strategic support. The ideal candidate has at least
3 years of experience as an Executive Assistant, possesses
strong AI exposure, and is comfortable working onsite in our
Ortigas, Pasig office. You will play a crucial role in managing complex schedules, supporting financial/bookkeeping tasks, creating impactful presentations, and leveraging AI tools to streamline processes and build applications for executive use.
Key Responsibilities:
- Manage executive calendars, coordinate global meetings, and handle complex scheduling across time zones.
- Provide seamless support to multiple CEOs and senior executives with competing priorities.
- Organize international and domestic travel arrangements (flights, hotels, transportation).
- Prepare, maintain, and optimize presentations, reports, and internal documents.
- Assist with bookkeeping and financial tracking using QuickBooks or similar software.
- Develop and maintain executive-level dashboards, trackers, and project management systems.
- Utilize AI tools to automate workflows, generate insights, build simple applications, and enhance productivity.
- Support with app building, automation, and presentation creation (PowerPoint, Google Slides, AI-enhanced tools).
- Handle confidential and sensitive information with utmost professionalism.
- Act as a liaison for executives in communications with international clients, stakeholders, and internal teams.
- Manage expense reports and support finance-related tasks.
Qualifications:
- Minimum 3 years of experience as an Executive Assistant or similar role.
- Willing to report onsite in Ortigas Center, Pasig.
- Proven ability to support multiple executives/CEOs simultaneously.
- Strong background in calendar management, travel coordination, and bookkeeping.
- Proficient in QuickBooks or other accounting software.
- Advanced AI exposure with the ability to use AI for task automation, app building, and content creation.
- Highly skilled in Google Workspace, Microsoft Office Suite, and collaboration platforms (Zoom, Slack, Trello, Asana, Calendly).
- Strong organizational, multitasking, and problem-solving skills.
- Excellent communication skills (written and verbal).
- High level of discretion and integrity when handling confidential matters.
- Self-starter with the ability to thrive in a fast-paced and global work environment.
