We're looking for a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to senior executives.
This role is ideal for someone who thrives in fast-paced environments, excels at managing priorities, and demonstrates strong attention to detail, discretion, and follow-through.
What You'll Do
• Manage complex, multi-time zone calendars and resolve scheduling conflicts
• Coordinate internal and external meetings, including logistics and materials
• Prepare agendas, meeting notes, and pre-read documents
• Support leadership and board meetings, including tracking action items and follow-ups
• Plan and manage domestic and international travel, including detailed itineraries
• Handle executive expense reports, reconciliation, and compliance
• Track executive priorities, commitments, and project progress
• Manage executive inboxes and draft professional correspondence
• Prepare reports, presentations, and business documents
• Liaise with internal teams, clients, and stakeholders
• Leverage AI tools (ChatGPT, Notion AI, etc.) to improve efficiency
• Identify and implement process improvements and automation
• Support cross-functional projects and special initiatives
• Maintain strict confidentiality of sensitive information
What We're Looking For
• Minimum 3 years of experience supporting senior executives
• Strong calendar and time management across multiple time zones
• Experience in expense management and reconciliation
• Proficiency in Microsoft Office and collaboration tools (Teams, Slack)
• Experience using AI tools for productivity and workflow optimization
• Excellent organizational, prioritization, and multitasking skills
• Strong written and verbal English communication (executive-level)
• Ability to work independently in a fast-paced, high-pressure environment
• High level of professionalism and discretion
Nice to Have
• Experience in fast-paced or multi-entity environments
• Familiarity with project management tools (Asana, Monday, ClickUp)
• Experience with CRM platforms (HubSpot)
• Knowledge of reporting tools (Power BI, Tableau)
• Background in process improvement or operations optimization
