Job Responsibilities:
• Provide high-level administrative and executive support to Directors and senior leadership
• Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones
• Arrange and coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries
• Prepare meeting materials, take meeting notes when required, and ensure timely follow-through on action items
• Handle email and communication management, including prioritizing urgent matters and responding on behalf of executives when necessary
• Coordinate with internal and external stakeholders to support business operations and executive requirements
• Maintain confidentiality of sensitive information and business-related matters
• Support day-to-day operational and administrative tasks to ensure smooth workflow and efficiency
• Proactively identify scheduling conflicts, operational gaps, or process improvements and provide solutions
• Build and maintain strong working relationships with executives, clients, and cross-functional teams
Required Qualifications:
• Bachelor's degree in any relevant field
• Minimum of 4 years of proven experience as a Virtual Assistant, Executive Assistant, or in a similar support role
• Excellent verbal and written English communication skills
• Strong background in calendar management, travel coordination, and meeting scheduling
• Experience supporting international stakeholders and C-suite executives
• Demonstrated ability to manage multiple executives simultaneously, with strong stakeholder and relationship management skills (expected to support at least 8 Directors)
• Proficient in Microsoft Office Suite applications, particularly Outlook Email, Outlook Calendar, and Microsoft Teams
• Highly proactive, self-motivated, and equipped with strong problem-solving and organizational skills
