Qualifications to Excel

  • Minimum 5 years of Executive Assistant or Personal Assistantexperience supporting founders, senior executives, or C-suite leaders
  • Preferably experienced supporting Australian executives or Australian-based businesses
  • Proven ability to manage complex calendars, inboxes, meetings, travel, and shifting priorities
  • Excellent written and verbal English skills with polished professional presence
  • Energetic, personable, confident, and engaging personality suited to fast-paced executives
  • Strong relationship-building and communication skills across all levels
  • Highly proactive, able to anticipate needs and work with minimal supervision
  • Advanced proficiency in Microsoft Office, Google Workspace, and scheduling tools
  • Strong multitasking, prioritization, and problem-solving skills
  • High discretion in handling confidential matters
  • Calm, resilient, and adaptable under pressure

Core Responsibilities

  • Manage complex calendars, meetings, appointments, and executive schedules
  • Screen, prioritize, draft emails, and follow up on action items
  • Prepare reports, presentations, briefing papers, and business documents
  • Liaise with internal teams, clients, and external partners on behalf of the CEO and COO
  • Brief executives ahead of meetings, deadlines, and key priorities
  • Track expenses, invoicing, subscriptions, and account reconciliations
  • Maintain organized and accessible digital files and records
  • Monitor timelines and ensure tasks are completed on schedule
  • Arrange domestic and international travel, including flights, transfers, accommodation, and itineraries
  • Organize business events, private functions, stakeholder meetings, and venue logistics
  • Prepare run sheets, guest lists, RSVPs, and catering arrangements
  • Manage personal appointments, bookings, and household logistics, including medical, maintenance, deliveries, and contractors
  • Handle personal errands, gift sourcing, and ad hoc requests
  • Assist with strategic initiatives, special projects, and tasks requiring discretion, flexibility, and proactive problem-solving
