Position Profile

The Executive Assistant will provide a high level of administrative support to the assigned TechGen Executive/Employee

The role is responsible for coordinating activities for the clients to enable the success of business operations.

This individual will have the ability to exercise good judgment in a diversity of situations, anticipate needs, think critically, and offer solutions with professionalism and confidentiality.

Key Responsibilities

  • Manage client's calendar
  • Manage information flow in a timely and accurate manner
  • Organize and prepare for meetings, including gathering documents and handling logistics
  • Format information for internal and external communications (emails, presentations, reports)
  • Upload data in tender portals and assist in preparing tender responses (Microsoft Dynamics)
  • Create and send mailouts and maintain mailing lists
  • Set up webinars
  • Assist in organizing events and coordinate with marketing suppliers and consultants
  • Take minutes during meetings
  • Manage CRM system: maintain customer data, generate proposals/reports, create leads and opportunities
  • Assist with travel requirements
  • Handle confidential and/or sensitive information (NDAs, pricing, etc.)

Essential Knowledge, Skills & Experience

  • High-level stakeholder engagement and interpersonal skills
  • Demonstrated experience as an Executive Assistant or Personal Assistant
  • Intermediate to advanced MS Office knowledge (Word, Excel, PowerPoint, Outlook)
  • High level of discretion and confidentiality
