The Opportunity

As an Executive Administrative Assistant supporting the President's Office at TELUS Digital, you will provide critical administrative support to ensure seamless operations across calendar management, travel coordination, and expense reporting. This role reports directly to the Executive Assistant to the President of TELUS Digital and works as part of a collaborative global EA team.

You are detail-oriented, proactive, and thrive in a fast-paced environment where priorities shift quickly. You anticipate needs, solve problems independently, and take ownership of your responsibilities. You'll work closely with executives across multiple time zones and become an essential part of ensuring the President's office runs smoothly.

Responsibilities

Calendar Management

Supporting the Executive Assistant to the President, you will assist in managing multiple schedules with an exceptional eye for detail

Manage the Global company calendar

Ensure calendar accuracy across multiple systems and time zones

Monitor calendar invites for completeness and potential conflicts

Proactively identify and resolve scheduling issues before they arise

Travel Coordination

Research and book domestic and international travel, including flights and car services, based on meeting schedules, preferences, and time of year considerations

Create detailed draft travel itineraries, including flight information, ground transportation, hotel details, and meeting schedules

Coordinate with EAs in other geographies to provide on-site support for their executives when traveling

Monitor flight statuses and proactively communicate delays or changes

Expense Management

Prepare and submit monthly expense reports for the Executive Assistant to the President with accuracy and attention to detail

Prepare travel expense reports following company and TELUS guidelines

Ensure all receipts and documentation are properly organized and submitted on time

Cross-Functional Collaboration

Work interdependently with the EA team across the US, Canada, and other locations

Communicate proactively via Slack, email, and video calls to ensure alignment

Support ad hoc administrative projects as needed to ensure smooth operations

Qualifications/Skills

Required:

  • 3-4 years of executive administrative experience supporting senior leaders
  • Fluent business English communication skills, both written and verbal - you communicate clearly, professionally, and confidently
  • Proficiency with Google Workspace (Gmail, Google Calendar, Google Drive, Docs, Sheets)
  • Strong proficiency with Microsoft Office 365
  • Experience with travel booking and itinerary creation
  • Experience with expense report preparation and submission (Workday and Concur experience is a plus)
  • Exceptional attention to detail and organizational skills - you don't let things slip through the cracks
  • Proactive, can-do attitude with strong problem-solving skills
  • Ability to work independently with minimal supervision while knowing when to ask questions
  • Comfortable managing multiple priorities and shifting deadlines
  • Ability to handle confidential information with discretion
  • Reliable internet connection and professional home office setup for remote work

  • Experience working with US-based executives or companies
  • Familiarity with Slack, or Jira
  • Experience managing calendars across multiple time zones
  • Background in supporting C-suite executives
  • Experience in a fast-paced tech or consulting environment
