Your Role:

The Executive Assistant will provide proactive administrative and executive support to the Directors, ensuring smooth workflow across their personal inboxes and all client-facing inboxes.

Key Day-to-Day Responsibilities:
  • Monitor and triage:
    • Trent's inbox
    • Antonio's inbox
    • All client shared inboxes (e.g., finance@ , AP/AR inboxes)
  • Apply structured email management:
    • File emails into appropriate folders according to rules, categories, and client
    • Flag urgent or high-priority items requiring attention
    • Draft simple replies or prepare responses based on provided templates
  • Daily summary & coordination:
    • Prepare a Daily Email Summary Report outlining:
      • Urgent items
      • Items awaiting action
      • Items that have been completed
      • Items requiring follow-up
    • Maintain a Task Register of all tasks assigned via email over the previous days
      • Send reminders for outstanding tasks due or overdue
  • Maintain and organise digital files, documents, and client folders
  • Set calendar appointments, schedule meetings, and coordinate with clients when needed
  • Assist in preparing simple documents, forms, and checklists
  • Follow up with internal team members or clients for missing information
  • Support general administrative tasks required by the Directors
  • Ensure no important client or operational email is missed, lost, or delayed

What You Need:
Non-negotiables

  • Previous experience as an Executive Assistant or Administrative Assistant (2+ years preferred)
  • Prior experience managing multiple email inboxes
  • Experience in filing, tagging, and categorising emails
  • Experience preparing daily reports or task lists
  • Experience supporting executives or senior leaders
Preferred skills/expertise:
  • Experience in a professional services, finance, accounting, or consulting environment is preferred but not mandatory
  • Experience with Australian clients is a bonus
