About the Client:

Our client operates multiple e-commerce stores and manages high volumes of online transactions, making accurate payment verification and fraud prevention their top priority. They value long-term support and provide full training but need someone who learns quickly, adapts to new tasks, and works proactively without constant supervision. Based in Chicago (Central Time), the client primarily works solo with light support from others and seeks a dependable, detail-oriented VA who can streamline daily operations and maintain secure, efficient order processing.

About the Role:

We are seeking a dependable, detail-oriented Payment Verification & General Virtual Assistant to support daily operational tasks for our e-commerce operations. This role is essential in ensuring smooth order processing, accurate payment validation, and the execution of routine administrative and marketing tasks. The ideal candidate is proactive, adaptable, and able to quickly learn new processes with minimal supervision.

This is a long-term position with opportunities to expand responsibilities as proficiency grows.

Key Responsibilities

Payment Verification & Fraud Review (Primary Duty)

  • Manually review every incoming payment to ensure accuracy and legitimacy.
  • Verify billing and shipping details, including:
  • Address authenticity
  • Residential vs. non-residential/abandoned addresses
  • Mismatched or suspicious order information
  • Identify potential fraud indicators and flag or hold orders when necessary.
  • Communicate findings to internal team members for final decisions (cancel, approve, or escalate).
  • Maintain extremely low chargeback rates by ensuring strict verification standards.

Email Marketing & Campaign Support

  • Create and schedule email marketing campaigns.
  • Experience in putting together marketing campaigns eg. Klaveo (preferred)
  • Source relevant customer segments to optimize targeting.
  • Use available analytics to ensure campaigns are reaching qualified buyers.
  • Assist in maintaining general email marketing workflows.

Content Creation & Basic Editing

  • Perform simple video edits using tools such as CapCut.
  • Create marketing materials, graphics, and ads using Canva.
  • Support general creative needs across platforms as assigned.

General Administrative & Operational Support

  • Adapt to new tasks as the business evolves; responsibilities may increase over time.
  • Participate in ongoing training to understand internal processes and systems.
  • Apply proactive thinking and problem-solving to reduce repetitive inquiries.
  • Follow SOPs and help refine them as efficiency opportunities are identified.

Qualifications & Skills

Required

  • Proven experience as a Virtual Assistant or in a similar remote operational role.
  • Strong attention to detail, especially when handling sensitive financial information.
  • High reliability and consistency with daily tasks (7-day availability for 6 hours/day).
  • Ability to think critically and spot inconsistencies without constant oversight.
  • Fast learner with the ability to adapt to frequent process updates.
  • Solid English communication skills (written and verbal).
  • Basic video editing experience (e.g., CapCut).
  • Graphic creation experience (e.g., Canva).

Preferred

  • Experience with e-commerce platforms (Shopify, WooCommerce, etc.).
  • Background in payment verification, fraud analysis, or order review.
  • Familiarity with email marketing tools and segmentation strategies.
  • Ability to self-manage and identify workflow inefficiencies.
