Job Description

The Documentation Associate is responsible for ensuring the completeness and accuracy of all documentary requirements related to units sold. This includes the preparation of various legal documents such as Deed of Absolute Sale, Contract to Sell, Amendments, Deed of Assignment, Addendum, Usufruct Agreement, and other supplemental contracts or certifications. The role involves coordinating with the Sales Admin Team or Customer Service Team to ensure timely transmittal of documents and regularly updating legal documentation reports.

Key Responsibilities:

  • Review documentary requirements for booked units and ensure completeness and accuracy prior to processing.
  • Prepare and finalize legal documents such as:
  • Deed of Absolute Sale
  • Contract to Sell
  • Amendment to Contract to Sell
  • Deed of Assignment
  • Addendum
  • Usufruct Agreement
  • Other supplemental contracts or certifications
  • Coordinate with the Sales Admin or Customer Service Team to transmit signed documents according to schedule.
  • Maintain and regularly update key reports including:
  • General Masterlist per project
  • 60-40 compliance report
  • Bank financing account list
  • Real-time monitoring of unreturned contracts
  • Ensure document tracking is current and accessible for audit and reference.
  • Support other legal or administrative tasks as assigned.
