We are seeking a Document Controller to support our client in the Mining & Construction sector. This role is essential in ensuring accurate management of project documentation, compliance with industry standards, and seamless communication between project stakeholders. Alongside document control duties, you will also assist with general administrative tasks to support daily business operations.

Key Responsibilities

Document Control:

  • Maintain the Project Document Register (PDR) / SDR in accordance with company and client requirements
  • Manage, organise, and maintain all project documentation in compliance with company and industry standards
  • Allocate unique document numbers, maintain revision integrity, and ensure metadata (titles, disciplines, issue purpose, etc.) are accurate and complete
  • Ensure strict version control, document accuracy, and timely distribution of technical documents, drawings, and project files
  • Manage the storage, distribution, and retrieval of all project documents
  • Verify that each document has been reviewed and approved by authorised personnel prior to release/issue
  • Manage all transmittals (internal and external) ensuring traceability of issue purpose, recipients, and revision history
  • Coordinate document control interfaces with clients, vendors, and subcontractors, ensuring alignment with their numbering and transmittal systems
  • Maintain electronic filing systems ensuring accessibility, security, and confidentiality of documents
  • Withdraw and archive superseded documents promptly; clearly mark obsolete copies as Superseded.
  • Track document statuses and maintain an updated register of all documentation
  • Participate in audits, provide evidence of document control compliance, and implement corrective actions as required
  • Support training and guidance for project staff on document control procedures and usage of the EDMS
  • Generate and prepare the Expediting Report every Friday

Administrative Support:

  • Provide administrative assistance to project and management teams
  • Draft and prepare correspondence, reports, and presentations
  • Schedule meetings, take minutes, and follow up on action items
  • Assist with general office tasks such as data entry, filing, and record keeping
  • Support HR/Finance departments with documentation when required

Requirements

Qualifications & Skills

  • 2-3 years experience as a Document Controller, preferably in Mining, Construction, or Engineering industries
  • Strong knowledge of document management systems, version control, and compliance requirements
  • Excellent organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong communication skills and ability to coordinate across teams
  • Experience with administrative tasks and office support functions
  • Ability to work independently with minimal supervision

This role is subject to a number of skills and possible practical tests.

This position is an onsite role at our Pampanga office. Candidate must be willing to work on-site.

Work Location: Work location: Sto. Domingo, Angeles City (across Sacred Heart Medical Centre)

Working shift: 8:30 am to 5:00 pm
