Job Description

Position Title: Digital Content Administrator

Work Set-up: Work From Home or Office

Schedule: Monday – Friday, 6:30 am – 3:30 pm PH Time

Salary: Php 45,000 – Php 60,000

About the Role

We are seeking a highly detail-oriented Digital Content Administrator whose primary responsibility is the creation, maintenance, and management of advanced Microsoft Word documents and forms used within the ServiceM8 Job Management System.

This role requires expert-level Microsoft Word proficiency, including a strong understanding of Merge Fields, document automation and creation, formatting consistency, and template logic. Candidates without advanced Microsoft Word experience will not be suitable for this position.

In addition to ServiceM8 forms development, the role also supports document management, CRM administration, digital content creation, and internal communication workflows.

JOB DESCRIPTION FOR DIGITAL CONTENT ADMINISTRATOR

Responsibilities as a Digital Content Administrator:

1. Phone Management

• Answer incoming calls promptly and professionally using the VOIP Telephone System

• Accurately direct calls or take detailed messages for team members

2. Digital Content & Document Administration (Core Responsibility)

• Design, build, and maintain advanced Microsoft Word templates and forms for automated use within ServiceM8

• Create and manage documents using Merge Fields, conditional logic, formatting rules, and structured layouts

• Ensure all documents are fully compatible with CRM and job automation workflows

• Maintain absolute accuracy, consistency, and completeness across all documentation

3. Digital Asset, Web & Marketing Administration

• Create and modify digital assets using Adobe, Canva, or similar tools

• Website creation and administration using cPanel, WordPress, and DIVI, with basic HTML and Java knowledge

• Maintain and update website content as required

• Create landing pages and manage CRM project pipelines

• Configure, manage, and optimise GoHighLevel (CRM, email, social, and landing pages)

• Create, organise, implement, and manage email campaigns using Mailchimp

• Create or update documentation and procedures in Tango

4. CRM & WIP Administration

• Update and manage the Work In Progress (WIP) spreadsheet with meticulous attention to detail

• Create and manage daily reminders for pending WIP tasks

5. Communication & Collaboration

• Work closely with team members to gather requirements for document and content creation

• Communicate clearly and professionally with clients and internal staff regarding updates, changes, and clarifications

6. Time & Task Management

• Manage workload efficiently within standard business hours

• Prioritise tasks to meet deadlines without direct supervision

• Demonstrate the ability to work independently in a remote environment

Qualifications as a Digital Content Administrator:

• Advanced Microsoft Word skills, including:

o Merge Fields

o Template creation

o Document automation

o Complex formatting and layout control

o Logic creation and implementation

• Proven experience as a Digital Content Administrator or in a similar role

• CRM administration experience (Zoho)

• Experience with ServiceM8 (additional training provided)

• Knowledge of and proficiency in Burdi which is an add on to ServiceM8

• Strong attention to detail and commitment to high-quality output

• Excellent written and verbal communication skills

• Strong organisational and multitasking abilities

• Ability to work independently and collaboratively within a remote team

• Basic coding knowledge, including the ability to understand and create/edit simple code (HTML, Word/Excel formulas)

• Proficiency in using VOIP telephone systems (Zoom)

Desirable (Nice-to-Have)

• Graphic design experience (Adobe, Canva, etc.)

• Website creation experience (cPanel, WordPress, DIVI, HTML, Java)

• Familiarity with VOIP telephone systems

• Familiarity with Australian trade business operations, including workflows and terminology used by Electricians, Plumbers, and Builders (job scheduling, quoting, compliance, and customer communication)
