Work Set-up: Onsite

Salary Range: P20,000-30,000 (depending on experience)

Job Summary

The Data Analyst plays a crucial role in ensuring the efficient processing of sales orders, monitoring delivery status, and maintaining accurate data within operational systems. This position involves daily reporting, coordination with various internal teams, and providing essential support for sales, marketing, and administrative functions.

Key Responsibilities

1. Sales Order & Operations Management:

  • Create and dispatch Sales Orders (SO) via email to relevant stakeholders
  • Ensure daily processing of all orders and follow-ups, including direct phone calls to vacant territories and PMRs.
  • Monitor and ensure timely delivery of all processed orders.
  • Coordinate follow-ups for orders with relevant contacts
  • Report discrepancies such as wrong receipts or incorrect orders via email to designated personnel
  • Document and submit required information for wrong receipts/orders, including pictures of boxes (all angles with expiry) and Sales Invoices with TRADE FORMs, via email

2. Reporting & Data Monitoring:

  • Provide Stock On Hand reports via email to relevant contacts
  • Update order status in GB and ISPI master data upon receiving Sales Order Monitoring (SOM) and Order Movement Reports (OMR).
  • Generate and send Sales Order Monitoring Reports (GB: every Monday and Thursday; ISPI: daily).
  • Maintain daily updates of all order details in GB & ISPI Monitoring systems, submitting reports to the National Sales Manager (NSM) by the end of working hours.

3. Marketing Support (Ad-hoc):

  • Prepare all necessary promotional materials (Professional Medical Representative (PMR) Monthly allocation/request and for Events).
  • Prepare all required samples (PMR Monthly allocation/request and for Events).
  • Process the shipment of promotional materials and samples to VisMin PMRs or event venues via designated forwarders.
  • Update the Promo Materials Stock on Hand file and share it with the Marketing Team at the end of each month or upon request.
  • Conduct actual counts of promotional materials in Lock&Store and the office as needed.
  • Perform actual counts of samples on hand in the office every end of the week and update sample monitoring files.

4. Finance and Administrative Support (Ad-hoc):

  • Deposit checks when urgent and in the absence of the person in charge.
  • Answer phone calls and receive visitors when the person in charge is on leave
  • Facilitate the release of checks when the person in charge is on leave.
  • Scan and print documents as needed (e.g., scan PRFs when the person in charge is on leave).
