Job Description

Position Title: Customer Care Specialist

Work Set Up: Onsite

Schedule: 8:00 PM to 5:00 AM PH Time

Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga

Quick Rundown:

We are seeking a Customer Care / Scheduling Coordinator to support daily administrative operations, staffing, and care coverage in a healthcare setting. The role involves managing schedules, coordinating with recruiters, ensuring employee compliance and documentation, supporting new hires, and maintaining 24/7 client care coverage. Ideal candidates are highly organized, detail-oriented, comfortable with technology and scheduling systems, and experienced in healthcare or customer service operations.

What You'll Do:

  • Answer office phones professionally and represent the agency appropriately
  • Manage employee and client documentation, including scanning, uploading, and filing records in ABS and Workbright.
  • Create, review, and process new hire paperwork to ensure compliance with required checklists.
  • Enter and maintain employee and client records in ABS within required timelines.
  • Review daily schedules to address open shifts and ensure accuracy across scheduling systems.
  • Utilize agency systems and tools (ABS2, Monday.com, Workbright, BrightConnect, and others) to support business operations.
  • Coordinate and support new hire orientation, including initial scheduling upon arrival.
  • Collaborate with recruiters to review staffing needs, interview candidates, and maintain an active employee bench.
  • Conduct initial calls with new hires, assist with performance coaching, and gather employee and client feedback.
  • Monitor employee compliance with credentials, certifications, and regulatory requirements.
  • Schedule staff for personal care, skilled care, and staffing engagements, ensuring adequate coverage and minimal overtime.
  • Manage staff absences, emergency coverage, and on-call coordination to ensure 24/7 client coverage.
  • Maintain consistency in staffing assignments and oversee care coverage standards.
  • Track documentation such as visit notes, timesheets, workers compensation records, and follow up on missing items.
  • Support training, competency assessments, and proper onboarding of field staff under leadership guidance.
  • Maintain client file security and track feedback related to service quality and staff performance.
  • Perform additional administrative and operational duties as assigned.

What We're Looking For:


  • High School Diploma required; Bachelor's degree preferred.
  • MA, LPN, RN, EMT certification, or equivalent preferred but nonrequired
  • At least 1 year of experience in customer care management or healthcare office administration.
  • Knowledge of HIPAA and healthcare office regulations.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and internet-based systems.
  • Strong organizational, planning, and time-management skills.
  • Ability to manage high-volume scheduling and multitask effectively.
