Job Description

Job Summary:

The Crewing Associate is responsible for ensuring the smooth execution of crewing operations, with a primary focus on meeting all documentary manning requirements in a timely and efficient manner. This role involves end-to-end coordination of crew deployment and documentation for assigned vessels, ensuring compliance with company standards, Flag State regulations, and statutory requirements.

This role also plays a key role in supporting the implementation and upkeep of the Quality Management System (QMS), Service Level Agreements (SLAs), Integrated Management System (IMS), Key Performance Indicators (KPIs), and company policies relating to crewing.

A vital part of the role includes maintaining accurate and up-to-date quality records and documentation, while actively contributing to the continuous improvement of crewing processes.

Responsibilities:

Person in Charge (PIC) for Assigned Vessels

  • Serve as the designated Person in Charge (PIC) for assigned vessels ensuring the proper documentation for each seafarer is in compliance with company and regulatory standards.
  • Prepare complete and accurate documentation for seafarers, ensuring all requirements are met prior to deployment.

Crewing Operations

  • Post-Disembarkation Documentation:
  • Ensure thorough checking and application of documents after the disembarkation of seafarers, including, but not limited to:
  • Travel Documents
  • Statutory Certificates
  • Medical Examinations
  • Flag Endorsements
  • Visa (U.S. and Schengen)
  • Seafarer Documentation Management:
  • Ensure that all seafarers documentation (such as employment contracts, medical referrals, and visas) is uploaded and maintained accurately in the Crewing System;
  • Generate and release of crew employment contracts; and,
  • Monitor the validity of US and Schengen visas for active seafarers, ensuring they are up-to-date as necessary.
  • Timely application of documents such as Flag Endorsements, Statutory Certificates, Travel Documents and Medical examinations prior to deployment and ensure validity for the entire duration of contract

Crewing System and File Management

  • Regularly update the Crewing System with relevant information and ensure that all crewing files are up-to-date, accurate, and in compliance with regulatory standards.

Additional Duties:

  • Perform other functions and duties as assigned, in alignment with the role and organizational needs.

Qualifications

  • Bachelor's degree or equivalent experience
  • At least 1 year professional working experience
  • Strong communication and interpersonal skills
  • Proficient in MS Office Applications and Database Systems
  • Good communication skills to be able to collaborate effectively with multi-national stakeholders
