Job Description

The Corporate Brand Project Lead - Agency Operations role offers the opportunity to drive smooth and efficient operations across Global Brand Team's agency initiatives by managing projects, documentation, contracts, and key operational workflows. By ensuring seamless coordination, accurate tracking, and effective process management, this role directly strengthens our mission to deliver consistent, well-governed brand experiences. The successful candidate will gain deep exposure to global agency operations, brand consulting processes, and vendor management, while building strong partnerships across teams and stakeholders. This position also provides the chance to develop advanced project management capabilities and contribute meaningfully to improving how our brand teams collaborate and operate.

Position Responsibilities:

  • Supports agency operations
    • Ensures timely creation and submission of agency health check surveys
    • Project management and support to deliver the Global Agency Operations Plan (create workback schedule, manage assigned deliverables, collaboration across team)
    • File management optimization and ongoing maintenance
    • Documentation and process management and updates
    • Tracking and reporting
    • Managing Smartsheet updates, project plans, and WBS
    • Responsible for maintaining accurate distribution and stakeholder lists for agency relations deliverables
    • Supports Program lead on planning activities

  • Brand consults triaging
    • Review, assess and assign consultations coming into the Brand team,
    • Develop and manage annual calendar
    • Tracking and reporting of all Global Brand consults
    • Documentation and process management and updates
    • Managing Smartsheet updates, project plans, and WBS
    • Supports Program lead on planning activities

  • Contract management
    • Maintains, updates and improves vendor contract management plan/tracker
    • Managing Smartsheet updates, project plans, and WBS
    • Flags the Vendor/Program Manager for upcoming contract renewals, considerations for RFP, etc.
    • Manage track all team Ivalua requests
    • Support Brand team driven RFP including requirements gathering and validation
    • OKR and planning template management

  • Team Operations
    • Supports Program lead on planning activities
    • Supports BCP, Disaster recovery and other risk assessments.
    • Supports Global Trademark program planning, reporting, and tracking
    • Support file management optimization and ongoing maintenance

Required Qualifications:

  • At least 3-4 years solid experience in managing and coordinating projects preferably in a creative agency set-up
  • A Bachelor's degree in any 4-year course. A degree holder in any Multimedia, Fine Arts and Design, or Marketing courses is a plus.

Preferred Qualifications:

  • Previous work in a BPO environment (not required, but is an advantage)
  • Bears solid communication (listening, speaking, and writing) and organizational skills
    • Confident in interacting with business units and can proactively partner with them
    • Can communicate effectively, facilitate working sessions, and negotiate solutions and alternatives
    • Can develop and grow strong partnerships with stakeholders, customers and vendors
    • Can work independently and adapt with fast-pace work environment
  • Possesses strong problem-solving and analytical skills
  • Experience in creating and presenting operational, project performance and financial reports
  • Experience in business analysis and transformation is a plus
  • Has experience using the following tools:
    • Project management software
    • Knowledge in Smartsheet is an advantage
    • Microsoft Office Applications/tools (PPT, Word, Excel, Forms, Project, etc.)
    • Familiarity with Adobe Suite (PS, AI, ID, AE, PR, etc.) is an a dvantage.
