Position:  Compliance Coordinator

Location: Hybrid Setup at Cebu IT Park, Cebu City

Employment Type: Full-Time (Night Shift, aligned with US time zone)

The Role

The Compliance Coordinator acts as a vital safeguard for the organization's vendor network. This individual ensures that every partner meets rigorous standards before work begins, maintaining the integrity of U.S. operations through meticulous documentation and proactive communication.

Requirements: Experience & Core Competencies

  • Professional Experience: Proven background in compliance, vendor management, or high-level administrative support.
  • Communication Skills: Excellent written and verbal English proficiency for direct coordination with U.S.-based stakeholders.
  • Technical Aptitude: Strong familiarity with ERP systems and Microsoft Office, particularly Excel for data tracking.
  • Attention to Detail: A sharp eye for identifying inaccuracies or expirations in legal and insurance documentation.
  • Adaptability: Comfort working a fixed night shift to remain synchronized with U.S. business hours.

Key Responsibilities

  • Onboarding Support: Manages the onboarding process by confirming all compliance requirements are fully satisfied before work is awarded to vendors.
  • Vendor Coordination: Communicates directly with vendors to request, collect, and follow up on essential documentation.
  • Adherence Monitoring: Tracks vendor compliance with company policies, customer requirements, insurance thresholds, and contractual obligations.
  • Data Validation: Validates critical records including Certificates of Insurance (COIs), W-9s, licenses, certifications, and tax forms.
  • System Management: Ensures all records are current, accurate, and securely stored within company systems.
  • Issue Resolution: Proactively identifies expired or missing paperwork and drives timely resolution to prevent operational delays.
  • Cross-Functional Partnership: Collaborates with Vendor Relations, Sourcing, and Operations teams to ensure only compliant vendors are used in the field.
  • Process Improvement: Assists in establishing and documenting SOPs and workflows to support scalable execution.
  • Auditing & Reporting: Performs routine audits of compliance records to identify potential gaps, trends, or risks.
  • Escalation: Reports critical compliance issues to leadership and recommends necessary corrective actions.
