Role Summary:

The Clinic Receptionist serves as the first point of contact for patients and plays a central role in delivering a warm, seamless, and professional clinic experience. This position manages front‑desk operations, supports administrative workflows, and contributes to the clinic's financial accuracy through basic accounting and cashiering tasks. The role ensures smooth patient flow, maintains organised and compliant documentation, and collaborates closely with clinical, administrative, and finance teams to keep daily operations running efficiently. The ideal candidate is patient‑centric, detail‑oriented, and comfortable multitasking in a fast‑paced healthcare environment while upholding high standards of service, professionalism, and integrity. 

Key Responsibilities

Front Desk & Patient Experience

  • Greet patients warmly and manage check‑in/check‑out processes
  • Handle appointment scheduling, rescheduling, and cancellations
  • Manage patient enquiries via phone, email, and in‑person
  • Maintain a clean, organised, and professional reception area
  • Assist patients with forms, payments, and general clinic information
  • Coordinate with clinical staff to ensure smooth patient flow

Administrative Support

  • Maintain and update patient records and clinic documentation
  • Prepare daily reports, logs, and administrative summaries
  • Manage inventory of office and clinic supplies; coordinate replenishment
  • Support clinic compliance requirements (e.g., filing, documentation, audits)
  • Assist with staff administrative needs when required
  • Handle courier arrangements, document filing, and general office tasks

Accounting & Finance Support

  • Process patient payments (cash, card, digital payments) and issue receipts
  • Perform daily cash reconciliation and prepare end‑of‑day settlement reports
  • Track invoices, vendor payments, and petty cash usage
  • Assist with basic bookkeeping tasks and data entry into accounting systems
  • Support monthly financial reporting and coordination with Finance team
  • Ensure accuracy and timeliness of all financial documentation

Requirements

  • Previous experience in a clinic, healthcare, hospitality, or customer‑facing role preferred
  • Basic accounting knowledge or experience in bookkeeping/data entry
  • Strong organisational skills with attention to detail
  • Excellent communication and interpersonal skills
  • Comfortable multitasking in a fast‑paced environment
  • Proficient in Microsoft Office and basic digital tools
  • High level of professionalism, integrity, and patient‑service mindset
  • Ability to work independently and as part of a team
