Overview

We are seeking a highly organized and proactive Client Success & Operations Assistant to support our client's day-to-day operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating tasks, and is comfortable communicating with clients, vendors, and internal teams. The Client Success & Operations Assistant will play a key role in ensuring smooth daily operations by assisting with administrative, coordination, and customer service tasks.

Schedule:

  • Monday to Friday from 8:00 AM to 5:00 PM Eastern Time (8 hours per day, 40 hours per week, with 1 hour unpaid lunch break)

Responsibilities

  • Support day-to-day operational tasks and coordination
  • Handle customer service inquiries and follow-ups
  • Schedule and coordinate service calls with clients and technicians
  • Manage calendar, meetings, and appointments
  • Assist with client and vendor payments, invoicing, and basic record-keeping
  • Communicate with clients, vendors, and internal team members as needed
  • Help organize and track ongoing tasks, priorities, and workflows
  • Provide general administrative support to ensure smooth daily operations

Requirements

  • Prior experience working as a Virtual Assistant, preferably within the material handling equipment (MHE) or automotive industry
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Ability to multitask and prioritize effectively
  • Proficiency in common productivity and communication tools (e.g., email, calendars, spreadsheets)
  • High level of professionalism and attention to detail
  • Ability to work independently and proactively
