Job Overview
We are seeking a highly organized and clientfocused professional to support our advisory team in delivering an exceptional client experience. This role is responsible for managing client meetings, onboarding processes, account servicing, and data maintenance across our core systems. The ideal candidate is detailoriented, proactive, and able to manage multiple tasks while maintaining strong communication and service standards.
Key Responsibilities
Production
- Coordinate and schedule meetings with prospective clients, existing clients, and wholesalers, including setting up Zoom sessions as needed.
- Send timely meeting reminders to all participants to ensure smooth attendance and preparation.
- Manage endtoend client onboarding, from sending the Onboarding Kit to organizing the Information Gathering Meeting.
- Prepare and complete required forms for new accounts, policies, contracts, and both financial and nonfinancial service requests.
- Track submitted forms by following up with companies and provide clients with consistent updates until processing is complete.
- Follow up with clients regarding outstanding tasks and ensure all required items are completed promptly.
Operations
- Maintain and update client profiles and account records within Redtail CRM.
- Manage eMoney client data and ensure accounts are accurately maintained.
- Support and/or lead continuous improvement initiatives to enhance operational efficiency and client experience.
Software & Systems
- Dropbox: File organization, storage, and secure sharing.
- Passpack: Secure password storage and controlled sharing access.
- Google Workspace: Email communication and coordination.
- Trustifi: Secure and encrypted email communication.
- GReminders: Scheduling and AI notetaking integrated with Redtail and Zoom.
- Redtail CRM: Client relationship management and activity tracking.
- eMoney: Account aggregation, financial planning, and client dashboard support.
- Schwab: Custodian platform for investment management.
- Flourish: Platform management for highyield savings.
