I am seeking for an Intake Specialist that will serve as the primary point of contact for new and active clients, ensuring a seamless onboarding experience and effective coordination of services. This role focuses on client relationship management, referral monitoring, service coordination, and authorization tracking to support efficient service delivery and high client satisfaction.
Responsibilities:
Client Onboarding & Relationship Management
•Serve as the primary contact for new inquiries and active clients
•Build and maintain trusting client relationships
•Guide clients through onboarding and ensure accurate documentation of required information
Referral Management
•Monitor and manage client referrals across departments
•Collaborate with referral sources to maintain partnerships and support client acquisition
Service Coordination
•Assess client needs and match them with appropriate services and clinicians
•Coordinate schedules, availability, and authorizations
•Identify and resolve service delivery barriers proactively
Authorization Utilization & Compliance
•Review and manage client authorizations to ensure optimal service use
•Maintain accurate waitlist and authorization records
•Provide updates to clients and internal teams
Collaboration with Teams
•Work closely with clinical and administrative departments
•Serve as liaison between clients and internal teams
•Support smooth transitions and issue resolution
Client Retention & Satisfaction
•Engage regularly with clients to assess satisfaction
•Collect and analyze feedback to improve service delivery
•Recommend enhancements to the overall client experience
Qualifications:
•Minimum of 2 years of relevant experience (required)
•Experience in ABA, Speech Therapy, or Occupational Therapy environments required
•Experience working in scheduling or intake departments required
•Must be willing and able to work within 8:30am-5:30pm Pacific (US) business hours
