Location: Tarlac, Philippines
Work Arrangement: Onsite, Full-time
Shift: Monday - Friday | 7:00 AM - 4:00 PM PHT (AU/NZ Business Hours)
Salary Range: Php 40,000 - Php 50,000

As a Business Support Officer, you are a high-level administrative and compliance engine. This role is designed for a proactive professional who thrives on autonomy and possesses the finisher mindset required to drive actions to completion. You won't just be taking notes; you will be auditing internal systems, maintaining ISO compliance, and providing strategic executive support to the COO. You are the glue that ensures organizational workflows are efficient, documented, and audit-ready.

Your Impact

  • Meeting & Action Command: Take full ownership of the company's meeting ecosystem. You will coordinate schedules, format professional minutes from AI transcripts, and-most importantly-manage the action register. You are responsible for holding stakeholders accountable, ensuring every assigned task is followed up and closed out on time.
  • Systems Auditing & ISO Compliance: Develop and maintain a rigorous internal audit schedule across key business platforms (Traffio, Worx, TQ Portal). You will ensure data integrity, identify non-compliance risks, and collect the evidence required for ISO audits, ensuring the organization remains compliant and efficient.
  • Strategic KPI Reporting: Collect and analyze data across multiple systems to provide consolidated KPI reports to the CEO, COO, and GM. You will highlight trends, recommend corrective actions, and provide the high-level visibility leadership needs to monitor performance.
  • Executive PA Support: Act as the right hand to the COO by managing a complex calendar and anticipating scheduling conflicts before they arise. You will ensure the COO is fully prepared for every commitment, providing the document preparation and reminders necessary for high-level executive function.
  • Process Integrity: Maintain the highest standards of discretion and professional integrity. Whether you are handling confidential executive data or sensitive audit findings, your work ensures the business operates with transparency and accountability.

What You Bring

  • The Experience:3-4 years of experience in meeting coordination, professional minute-taking, and action tracking. You have a background in ISO reporting, internal auditing, or compliance functions, along with previous PA/EA support experience.
  • Systems Proficiency: Strong proficiency in Microsoft Office and Google Workspace. While not essential, experience with Traffio, Worx, or TQ Portal is a significant advantage.
  • The Mindset: A highly autonomous, self-motivated professional with a strong sense of accountability. You possess an uncompromising eye for detail and the ability to prioritize a diverse workload without constant supervision.
  • Communication Mastery: Exceptional written and verbal communication skills. You can translate complex meeting discussions into clear, actionable records and provide professional reports to C-suite executives.
