Role: Client Experience & Business Support Specialist

Work Arrangement: Work From Home

Location: Any CS Branch - Angeles, Mabalacat, Makati, Ortigas, Tarlac, Davao, Cebu

Schedule: Morning Shift

Key Responsibilities:

  • Respond to client inquiries warmly and professionally within 24 hours.
  • Follow up on leads, event registrations, and maintain client and communication records.
  • Manage client birthday, anniversary, and key milestone communication and gifts.
  • Manage client coaching sessions and rescheduling.
  • Manage and confirm client meetings both in person and via Zoom.

Tools & Resources:

Microsoft Outlook, Trello, GDrive, Zoom, Fathom, Grammarly, Slack

Diary Management

Description & Deliverables:

  • Manage Tanja and Matts calendar and appointments.
  • Schedule, confirm, and update events.
  • Send reminders to clients and ensure effective meeting preparation.

Change Agent Onboarding & Coordination

  • Guide strategic partners through onboarding.
  • Develop and distribute Change Agent marketing assets.
  • Share toolkits and marketing materials.
  • Track, communicate, and celebrate partner activity.
  • Prepare status reports for Tanja and Dr Matt.

Administration & Document Support

  • Prepare reports, presentations, and resources.
  • Maintain and organise digital files.
  • Track and report on website progress, opens, clicks, and engagement.
  • Track and report on Google Reviews.

Speaking & Training Support

  • Handle email enquiries and qualifying questionnaires.
  • Manage Discovery Calls.
  • Support proposal development and distribution.
  • Client follow-up.
  • Event coordination for national and international events.
  • Venue sourcing.
  • Flight booking and travel coordination for Tanja and Matt.

Podcast Management

  • Schedule, confirm, and onboard podcast guests.
  • Prepare episode briefs, guest research, and fact checking.
  • Upload and publish episodes across all platforms.
  • Develop podcast thumbnails and marketing materials.
  • Create guest communication kits and email podcast assets.
  • Post podcasts on social media platforms.

Business Development

Description & Deliverables:

  • Research ideal clients, leads, and decision makers.
  • Connect with ideal clients.
  • Reach out for research and build connections.

EDM Development & Management

Description & Deliverables:

  • Schedule and develop weekly EDM.
  • Research and prepare content.

Award Submissions

Description & Deliverables:

  • Research industry, leadership, and women in leadership awards and submissions.
  • Prepare submission documentation and support material.
  • Manage award submission calendars and key dates.

Social Media Management

Description & Deliverables:

  • Respond to messages and comments.
  • Post updates and engage with the audience.

General Administration & Support

Description & Deliverables:

  • Ad hoc admin tasks.
  • Meeting preparation.
  • Ongoing support for evolving projects.
