Chief of Staff

Location: Silver City, Pasig, Metro Manila (Hybrid)

About The Role

The Chief of Staff serves as a strategic partner to the CEO/CRO, driving operational excellence, optimizing executive time, and ensuring alignment across key priorities. This role blends executive support, business operations, and project coordination, acting as a force multiplier to enhance decision-making, execution, and cross-functional collaboration.

Key Responsibilities

Executive Calendar & Communications Management

  • Manage executive calendar, ensuring alignment with strategic priorities, resolving conflicts, and protecting focus time
  • Oversee executive communication flow by prioritizing inboxes, drafting responses, routing messages to the right people, and driving timely follow-ups
  • Act as a gatekeeper and facilitator to maximize executive efficiency and effectiveness

Meetings, Strategic Support & Reporting

  • Conduct research on people, companies, and key topics to support executive preparedness for meetings and calls
  • Prepare agendas, materials, and executive briefings for internal and external meetings
  • Provide structured meeting summaries, capture key insights, track action items, and ensure accountability and follow-through
  • Support development and quality review of presentations (e.g., board decks, QBRs), ensuring accuracy, clarity, and executive readiness
  • Maintain and analyze recurring business reports, including sales and pipeline tracking, and synthesize insights for leadership
  • Analyze call data and deliver weekly reports summarizing key insights, trends, and performance observations

Business Operations & Project Execution

  • Drive cross-functional coordination by tracking initiatives, identifying blockers, and ensuring timely execution
  • Partner with internal teams to monitor deliverables, maintain visibility on progress, and escalate risks when necessary
  • Track and manage direct reports deliverables via Smartsheet, ensuring alignment with timelines and providing ongoing updates on progress, risks, and deviations

Stakeholder & Relationship Management

  • Maintain and manage key stakeholder relationships by updating contact lists, tracking engagement touchpoints, ensuring consistent follow-ups, sending thank-you notes, and keeping commitments visible and on track
  • Support internal and external communications with strong professionalism and confidentiality
  • Coordinate across teams and leadership to ensure alignment and seamless collaboration

Administrative & Operational Support

  • Oversee administrative operations including expense management, document organization, and signature workflows
  • Maintain accurate, secure, and accessible records and documentation
  • Coordinate end-to-end travel and logistics, including itineraries and contingency planning
  • Provide support to additional stakeholders and take on special projects as needed

AI & Technology Enablement

  • Leverage AI tools and automation to improve productivity, streamline workflows, and enhance reporting and communication
  • Identify opportunities to optimize processes through technology and implement scalable solutions
  • Stay up to date with emerging tools and best practices to continuously improve operational efficiency

Qualifications

  • At least 5 years of experience as an Executive Assistant, Chief of Staff, or similar role in a shared services or international environment
  • Effective communicator with strong written and verbal English skills
  • Strong interpersonal skills; outgoing, sociable, and easy to approach
  • High level of discretion, trustworthiness, professionalism, and attention to detail
  • Data-driven and analytically minded, with strong critical thinking, problem-solving abilities, and comfort working with metrics, tools, and technology
  • Excellent organizational and time management skills
  • Experience working with global stakeholders and cross-functional teams
  • Proven ability to work proactively, independently, and under pressure
  • Demonstrated AI literacy with ability to use tools for efficiency and decision support is a strong preference
  • Adaptability to changing business needs and priorities
  • Willingness to work in a hybrid setup and fixed night shift schedule (Silver City, Pasig)
