The Buyer's Assistant will be responsible for these core areas of focus:

Key Responsibilities

Some of the responsibilities of the Buyer's Assistant will include but are not limited to:

Buying & Purchase Order Administration

  • Raise and maintain purchase orders in MYOB/SAP in line with Buyer instructions and forecasts
  • Ensure PO accuracy across cost price, quantities, delivery dates, and freight terms
  • Track PO confirmations, delivery schedules, and changes with suppliers
  • Follow up overdue confirmations, ETDs, and inbound deliveries
  • Maintain clear audit trails for PO changes and approvals

Supplier & Sample Coordination

  • Act as a day-to-day contact point for suppliers on administrative matters
  • Coordinate product samples for range reviews, marketing, and content creation
  • Track sample requests, arrivals, and internal distribution
  • Support supplier onboarding documentation and compliance requirements
  • Assist Buyers in maintaining organised supplier records and communications

Range, Pricing & Promotion Support

  • Assist Buyers with range review preparation and documentation
  • Support pricing updates, promotional set-ups, and cost changes
  • Coordinate timelines between Buying, Marketing, and eCommerce for promotions and launches
  • Maintain promotional trackers and ensure execution aligns with agreed plans
  • Assist in post-promo reviews and data collection

Reporting & Operational Support

  • Prepare and maintain buying trackers (POs, deliveries, samples, pricing changes)
  • Support Buyers with sales, stock, and performance reports
  • Assist with forecasting inputs and data validation
  • Maintain accurate records to support financial reconciliation and audits
  • Contribute to continuous improvement of buying processes and SOPs

Success in the Buyers Assistant role is defined by:

  • Purchase orders raised accurately and on time
  • High data accuracy across product, pricing, and supplier records
  • Strong follow-up discipline with suppliers and internal teams
  • Buyers able to focus on commercial decisions due to strong admin support
  • Reduced errors, delays, and rework across buying operations
