Job Description

BUOM - Shared Services serves as the central integrator of all headquarters support functions, ensuring strong alignment across HR, Finance, Technical Services, and Café Operations with overall business priorities.

Responsible for driving execution excellence, enforcing operational discipline, and eliminating silos across shared services. The BUOM ensures that strategies, systems, and initiatives are effectively aligned and consistently implemented across all business units.

As the operational backbone of the organization, the BUOM translates leadership direction into coordinated, measurable, and timely execution, ensuring efficiency, accountability, and business impact.

1. Cross-Functional Integration & Execution

  • Act as the central point of coordination across HR, Finance, Technical Services, and Café Operations
  • Drive alignment with business priorities and eliminate operational silos
  • Ensure timely execution of initiatives and service delivery across functions
  • Proactively identify, escalate, and resolve operational bottlenecks

2. HR & People Operations Oversight

  • Ensure workforce readiness aligned with operational requirements
  • Oversee training and development in partnership with Aivee Academy
  • Enforce performance management systems (KPIs, PEP) and organizational discipline
  • Strengthen accountability and adherence to company standards

3. Finance Coordination & Control

  • Align operations with financial goals, including revenue tracking, budgeting, and cost control
  • Promote financial discipline and transparency across business units
  • Provide leadership with accurate, timely, and actionable financial insights

4. Technical Services & Infrastructure

  • Ensure operational readiness of all equipment, systems, and facilities
  • Minimize downtime through proactive maintenance and coordination
  • Support the rollout and adoption of new technologies across units

5. Café Operations Integration

  • Ensure alignment of café operations with overall business standards
  • Drive consistency in execution, quality, and operational efficiency
  • Integrate café operations into shared service systems (HR, Finance, Reporting)

6. Strategic Execution & Rollout

  • Lead the execution of key organizational and system-wide initiatives
  • Translate plans into measurable actions and results
  • Coordinate cross-functional efforts to ensure successful implementation

7. Reporting & Performance Management

  • Monitor performance across all shared service functions
  • Identify gaps and drive corrective actions
  • Provide regular leadership updates on execution progress, risks, and operational challenges
  • Ensure end-to-end accountability across all functions

Qualifications & Experience

  • 8-12+ years in operations, shared services, or business management
  • Proven experience managing multi-functional teams (HR, Finance, Tech, Ops)
  • Strong background in execution, systems, and process discipline
  • Experience in healthcare, retail, or service industries is an advantage
