Job Description

Objective

TheTravel Coordinatoris responsible for planning, organizing, and managing all aspects of business travel for employees. This role ensures efficient travel processes, cost-effectiveness, and adherence to the company's travel policies and budget guidelines. The Travel Coordinator plays a key role in providing a smooth travel experience for employees while maintaining compliance and transparency in all travel-related activities.

Key Responsibilities

  • Plan, book, and coordinate business travel arrangements, including flights, hotels, rental cars, and train reservations.
  • Ensure all travel activities comply with company travel policies and budgetary requirements.
  • Assist employees with visa applications, vaccination requirements, and entry documentation.
  • Maintain and update employee travel profiles and preferences in the travel management system.
  • Build and maintain strong relationships with travel agencies and other service providers to ensure quality and cost-efficient services.
  • Prepare regular reports and analyses on travel expenses, patterns, and activities.
  • Support the continuous improvement and digitalization of travel management processes to enhance efficiency and user experience.

Qualifications and Requirements

Education and Experience

  • Completed commercial education or an equivalent qualification.
  • Minimum of3 years of experiencein travel management or a related administrative role.
  • Experience with travel booking systems (e.g.,Concur) is an advantage.

Skills and Competencies

  • Excellent organizational skills with strong attention to detail.
  • Exceptional service orientation and effective communication skills.
  • Ability to work under pressure while maintaining a proactive and solution-oriented mindset.
  • Proficiency inMicrosoft Office, particularlyExcel and Outlook.
  • Very good command ofEnglish(both written and spoken); additional languages are an asset.
