Position Summary
We are seeking a detail-oriented Billing Specialist to join our team. In this role, you will be responsible for the final mile of our service process: turning completed industrial field work into accurate client invoices.
This is an ideal role for an early-career professional with a year or two of experience who is highly organized, comfortable with technology, and enjoys ensuring that financial data accurately reflects the work performed.
Key Responsibilities
- Invoice Preparation: Generate and issue accurate invoices for maintenance and repair services based on completed service tickets.
- Work Order Review: Review technician labor hours and material logs to ensure all billable items are captured correctly before finalizing the bill.
- Service Software Management: Use our shop management system to pull service data, verify parts used, and finalize billing records.
- Customer Portal Uploads: Submit finalized invoices into various third-party client portals as required by specific contract agreements.
- Data Maintenance: Assist in keeping client billing profiles up to date, including tax status, contact information, and specific billing requirements.
- Internal Coordination: Communicate with the service and operations teams to clarify any missing or unclear information on service tickets.
Requirements & Qualifications
- Experience: 12 years of experience in billing, administrative support, or general accounting.
- Tech Savvy: Strong computer skills, including proficiency in Microsoft Excel and the ability to learn new software platforms quickly.
- Detail Oriented: A high level of accuracy in data entry; you are the type of person who catches the small errors before they become big problems.
- Communication: Professional verbal and written communication skills for coordinating with internal departments.
- Education: High school diploma required; Associate's degree in a related field is a plus.
Preferred Qualifications (Want, Not a Need):
- Experience using Fullbay or similar shop management/ERP software.
- Previous experience in an industrial, construction, or mechanical service environment
