Job Summary:
The Accounts and Billing Specialist is responsible for processing and monitoring project-related accounting transactions, contractor payments, material reservations, and project costs. The role ensures accurate recording, reconciliation, and monitoring of project expenses while supporting the Site Operations and Technical Administrative teams.
Key Responsibilities:
- Upload approved material reservations into the accounting system.
- Create Purchase Requisitions (PRs) in the accounting system.
- Encode owner-supplied materials issued on site into the accounting system.
- Review Requests for Payment (RFPs) processed by Site Technical Administrative Assistants.
- Reconcile actual payments with contractors to ensure timely payment processing and prevent overspending.
- Monitor and record project costs to ensure actual spending remains within the approved budget.
- Coordinate with the Site Operations Team regarding contractor account reconciliation, actual payments, and outstanding balances.
- Safekeep and maintain documents submitted to the Technical Administrative Group, including contracts, purchase orders, memos, and other project-related documents.
- Process account close-outs upon completion of projects or contracts.
- Generate consolidated reports from Project Cost Monitoring, SAP, and Payables Monitoring.
- Perform other accounting and administrative tasks related to project cost and billing management.
Qualifications:
- Graduate of BS Management, Financial Management, Accounting, or a related course.
- With at least 1–3 years of relevant work experience, preferably in the construction industry, particularly horizontal development.
- Experience in project accounting, billing, contractor payments, or cost monitoring is an advantage.
Knowledge:
- Proficient in Microsoft Office applications, particularly MS Excel.
- Knowledge of Enterprise Resource Planning (ERP) systems, such as SAP, is an advantage.
- Basic understanding of project costing, billing, payables, and account reconciliation.
Skills:
- Good oral and written communication skills.
- Strong organizational and time-management skills.
- Ability to manage multiple tasks and meet deadlines.
- Ability to work effectively with Site Operations, contractors, and internal stakeholders.
