Job Description

Job Summary

Billing Specialist is responsible for managing the billing cycle within the car rental business,

including invoice preparation, rental agreement reconciliation, and monitoring customer

payments. The role ensures billing accuracy and compliance with rental policies.

Key Responsibilities

Prepare and issue invoices based on car rental contracts and/or proposals, extensions,

fuel charges, insurance, penalties, and other applicable fees.

Review and validate rental contracts to ensure correct rates, discounts, and terms are

applied.

Monitor accounts receivable and follow up with individual and corporate clients for

outstanding payments.

Reconcile daily rental transactions with system records and resolve billing discrepancies.

Coordinate with reservations, operations, and finance teams to validate billing details.

Process credit memos, adjustments, and refunds as needed.

Ensure compliance with company policies, contracts, and tax regulations.

Generate billing and collection reports for management review.

Support month-end closing activities and audit requirements.

Qualifications & Skills

Bachelor's degree in Accounting, Finance, Business Administration, or related field

(preferred).

Minimum of 2–3 years experience in billing, preferably in the car rental, leasing, or

transportation industry.

Strong knowledge of rental agreements, insurance charges, penalties, and

industry-related billing practices.

Proficiency in MS Office (Excel, Word); familiarity with car rental management systems

or ERP software is an advantage.

Excellent attention to detail, accuracy, and organizational skills.

Strong communication and problem-solving abilities.

Ability to work independently and meet strict deadlines.
