Job Description

Fira Group is seeking a detail-oriented and proactive Assistant Property Manager to support our client, a residential real estate management company overseeing multiple buildings and a large number of units. This role will primarily focus on tenant communication, collections outreach, move-in and move-out coordination, and providing administrative support to the property management team.

The ideal candidate will be highly organized, professional, and comfortable communicating with tenants regarding sensitive matters. The role also involves organizing property documents, maintaining and updating standard operating procedures (SOPs), and supporting the property management team with day-to-day administrative tasks.

Schedule: Mon-Fri 9am-5pm (New York Time)

Please note that this is an independent international contractor role through Fira Group, working directly within a client's organization.

This position is open to candidates based in the Philippines.

Responsibilities
  • Conduct tenant outreach regarding outstanding balances and collections.
  • Coordinate and schedule tenant move-ins and move-outs.
  • Communicate with tenants via phone, email, and other channels.
  • Assist property managers with daily administrative tasks.
  • Maintain accurate tenant and property records.
  • Organize and maintain digital property documents and files.
  • Create, organize, and maintain SOPs for property management processes.
  • Track tenant requests, follow-ups, and outstanding action items.
  • Prepare reports, spreadsheets, and other administrative documentation.
  • Coordinate with property managers, vendors, and other internal teams.
  • Follow up on outstanding tasks to ensure timely completion.
  • Assist with special projects and other property management duties.

Qualifications

  • Previous experience in property management, real estate, administration, or customer service is preferred.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time-management skills.
  • Comfortable communicating with tenants regarding payments and account matters.
  • Exceptional attention to detail and accurate record-keeping.
  • Ability to manage multiple properties, tenants, and priorities simultaneously.
  • Strong follow-through and proactive problem-solving skills.
  • Proficiency with spreadsheets, email, and standard office software.
  • Quick learner with the ability to adapt to new systems and processes.
