Assistant Manager

Job Type: Full-Time

Work Hours: Monday to Friday, 9:00 AM to 6:00 PM Pacific Time, with a 1-hour break

Salary: $1,000 per month

Job Overview:

We are seeking an Assistant Manager to support the Area Manager in the day-to-day operations of multifamily residential properties. This role will assist with leasing and marketing, resident relations, rent collection, property maintenance, administrative tasks, and overall property operations while helping maintain high occupancy, resident satisfaction, and property standards. The ideal candidate is organized, professional, detail-oriented, and customer-focused, with strong communication and problem-solving skills, the ability to work independently and collaboratively, and hands-on experience with AppFolio.

Key Responsibilities:

  • Marketing & Leasing
  • Assist with leasing and marketing activities to maximize occupancy and minimize vacancy.
  • Respond to prospective residents, provide leasing information, schedule virtual tours, and follow up with prospects.
  • Maintain accurate prospect and leasing records in AppFolio.
  • Assist with applications, lease preparation, move-in documentation, and collection of approved move-in funds.
  • Support online advertising, market surveys, waiting lists, and other leasing initiatives.
  • Assist other communities and support commercial leasing activities as assigned.
  • Resident Relations
  • Provide professional and responsive customer service and address resident questions, concerns, and service requests remotely.
  • Support resident retention and renewal efforts through timely communication and follow-up.
  • Assist with resident notices, lease-related correspondence, delinquency and collection procedures, and other resident documentation.
  • Maintain accurate resident records and communication logs in AppFolio.
  • Maintain confidentiality when handling resident, employee, financial, and company information.
  • Administration & Property Management
  • Assist the Area Manager with daily property operations, reporting, recordkeeping, and compliance.
  • Support rent collection and follow up on delinquent accounts.
  • Maintain accurate tenant, applicant, lease, vendor, accounting, and property records in AppFolio.
  • Assist with move-in and move-out coordination and related documentation.
  • Coordinate with corporate and accounting teams to maintain accurate rent and revenue information.
  • Communicate regularly with the Area Manager regarding leasing activity, resident concerns, maintenance issues, property operations, and other matters requiring attention.
  • Exercise sound judgment regarding property expenses and obtain required approvals for financial commitments.
  • Maintenance & Vendor Coordination
  • Enter, monitor, and follow up on maintenance work orders in AppFolio.
  • Coordinate remotely with residents, maintenance teams, vendors, and contractors regarding repairs, cleaning, landscaping, and other property needs.
  • Follow up on maintenance requests and communicate updates or delays to residents and management.
  • Assist with coordinating renovation projects, scheduling, resident communications, and follow-up.
  • Track maintenance, vendor, and property-related issues and ensure timely escalation when needed.
  • Team Support & Leadership
  • Support the Area Manager in maintaining a professional and productive on-site team.
  • Collaborate remotely with leasing and maintenance staff, vendors, contractors, corporate teams, and senior management.
  • Provide administrative support and direction to on-site personnel when delegated.
  • Identify operational issues and assist in developing solutions that improve property performance and resident satisfaction.
  • Lead by example in customer service, professionalism, communication, and adherence to company standards.
  • Additional Duties
  • Attend required meetings, training sessions, and conference calls.
  • Maintain compliance with company policies, procedures, safety standards, and operating requirements.
  • Perform other related administrative and property management duties as needed.

Required Skills & Qualifications:

  • 2+ years of experience in multifamily residential property management, leasing, or a related field preferred.
  • Previous experience as an Assistant Manager, Leasing Manager, Property Manager, or comparable role preferred.
  • Hands-on experience with AppFolio is required.
  • Strong knowledge of multifamily leasing practices, resident relations, property operations, and basic maintenance procedures.
  • Strong customer service, verbal and written communication, organizational, and time-management skills.
  • Ability to prioritize multiple responsibilities, meet deadlines, work independently and as part of a team, and take initiative.
  • Basic understanding of rent collection, budgets, operating expenses, and property financial operations.
  • Strong attention to detail, follow-through, and problem-solving skills.
  • Proficiency in Microsoft Word, Excel, Outlook, and other standard office software.
  • Ability to exercise sound judgment, appropriately escalate issues, and adapt to changing priorities.
  • Ability to handle sensitive and confidential information with discretion.
  • Professional demeanor when interacting with residents, vendors, contractors, management, and the public.
  • Ability to respond to property emergencies and operational issues as assigned.

Note: An NBI or police clearance will be required upon acceptance of the job offer.
