Job Description

  • Responsible for overseeing the payrollprocessingand benefits administration functions with the following key responsibilities:

  • Planning,organizingand coordinating payroll and benefits administration functions

  • Provideassistancetothe Compensation, Benefitsand Compliance Manager on processing personnel movements, processing of annual salary increase and annual incentive programand other managementreports ,regional and global reporting requirements.

  • Training,supervisingand evaluating the performance of assigned staff

  • Monitoring activities of payroll process and employee benefits services

  • Ensuring that all concerns of the employees are addressed accurately andtimelyby the team

  • Communicating with the providers on the requirements and issues and ensure compliance on thesetSLAs.

  • Responsible inensuring that therequiredmonthlyaccrualsare prepared correctly andtimelyinsupport to the monthly closing of Finance

  • Ensuring compliance with the laws of regulations of government agencies

  • Policy Development

  • Ensure efficient processing of final pay including coordination with the relevant teams involved in processing of clearances following the required 30-day rule of DOLE in releasing the final pay to the resigned employee

  • Collaborates with Finance to ensure smooth andtimelysubmission of needed monthly accruals and extraction of personnel costs as requested

  • Responsible intimelysubmission ofplantillaevery payroll period and alladvisefor changes in cost allocation is confirmed to be updated in theappropriate period

  • Monitortimelyremittance of government contributions and ensure that all related receipts are received thru Octans

  • Monitorand provideperformance of the 3rdparty payroll provider following the agreed processes and set timelines

  • Keep abreast with the latest government rulingsegtax and DOLElaws andensure its compliance

  • Ensure thatrequiredmanagement reports, schedules and cost/variance analysisare provided based on the agreed timelines and set by the requester including requests by auditorsegstatutory financial audit, DOLE inspectionaudit ,internal qualityaudit ,corporate internalauditand CS reporting

  • Maintain the integrity and confidentiality of payroll records, and salary information

  • Ensure that all payroll records and other payroll supporting documents are kept in-tact either in soft or hard copies

  • Conduct shine orientation to new hires and newly regularized employeesand refresher orientation for an update

  • Responsible in ensuring that all requests or queries of employees are responded and resolved based on the set KPI /timelines

  • Serve as a focal point on internal and external audit and ensure that all required audit requirements are delivered

  • Ensurethatreconciliationof employee and payroll data against all HRIS systemsis done regularly andtimely

  • Write and update policies related to payroll and benefits

  • Perform other related duties asrequiredand assigned by Compensation, Benefits and Compliance Manager and HR Country Director

  • Complies withtheQuality,Health andSafety,Environment and Energy (QHSEE)policiesandsupportingobjectives

Qualifications

  • Graduate of either BS Computer Science, BS Psychology, or any Science or Business course

  • Withminimum of 5years experienceon a managerialcapacity,managing benefits and focused on payroll

  • Knowledge inpayroll processing andimplementation of employee benefits policies and its guidelines

  • Must have anextensive knowledge onthe Philippine Labor Code and its implementingguidelinesBIR ruling on withholding tax on compensation

  • Maintaina high levelof confidentiality

  • Detail-oriented,demonstrated strength in regulatorycompliance .

  • Hasstrong senseorurgency and sound judgement

  • Has initiative and resourcefulness in meeting objectives

  • Ability to effectively interact with all levels of organization

  • KnowledgeableinMS Office particularly in Word,Exceland Outlook Express

  • Excellent listening, creativethinkingand interpersonal skills, including the demonstrated ability toestablishand maintain relationships and build influence with people internally and externally

  • Manages and executes projects, budgets and proposals,timelinesand creative design to increase employee engagement and to sustainthe employeeculture.
