Assistant Bookkeeper

Salary Range: $520 to $693 per month

Join a fast-growing finance team supporting multiple travel businesses with essential bookkeeping operations. In this role, you'll gain hands-on experience in invoicing, expense tracking, and reconciliations while learning tools like QuickBooks and AI-powered systems. What You'll Do:

  • Create and input invoices for travel agency clients based on system or email data.
  • Record vendor and transaction-related expenses in QuickBooks to support accurate profitability tracking.
  • Assist in reconciling bank and credit card transactions for accurate books.
  • Categorize financial data using Excel and ensure clean, clear reporting for each client.
  • Use internal custom GPT tools to extract and format invoice data from receipts and GDS data for QuickBooks input.
  • Communicate with clients via email and WhatsApp to clarify transactions or request missing details.
  • Record payments (Zelle, credit card, etc.) in QuickBooks based on incoming emails or bank feeds.
  • Provide supplemental support to additional low-volume clients, including reconciliation or internal bookkeeping when time permits.

Who You'll Work With:

You'll work closely with a supportive and experienced bookkeeping manager and become an integral part of a remote finance team serving travel-based businesses. The team is process-oriented and uses custom AI tools to increase efficiency and accuracy, ensuring all financial tasks are handled with care and consistency.

Who We're Looking For:

  • Trainable: Willing and able to learn bookkeeping tasks from scratch with training.
  • Detail-Oriented: Careful and consistent with data entry to avoid duplication and ensure invoice accuracy.
  • Basic Tech Fluency: Comfortable navigating Excel (basic functions like SUM), and email. Familiarity with using QuickBooks and ChatGPT is a plus.
  • Communicative: Ask a lot of questions particularly when something is unclear, especially when reviewing financial data.
  • Organized: Capable of managing tasks via email and maintaining a clear workflow across multiple clients.
  • Experience: General work experience is required.
