Job Description

Our Global Operating Center located in Manila is pivotal to enhancing the Firm's operational efficiency and streamlining legal and business services support across our global network. Our center provides comprehensive administrative, financial and operational services across office operations, compliance and new business, finance, technology, human resources, innovation and marketing. By centralizing these critical functions, the center ensures consistency and quality in service delivery while reducing operational costs. Through its integrated approach, our Global Operating Center enables the Firm to focus on its core legal services, drive global growth and maintain high standards of client service across all offices.

Essential Duties

  • Coordinate in core processes including daily work intake, assignment, quality review, and delivery of work product for the Matter Mobility domains
  • Coordinate in advising Firm personnel on matter mobility best practices relating to the accurate, efficient, economic transfer and disposal of client and Firm proprietary information per approved requests
  • Coordinate the departments work with accountable Firm stakeholders across matter mobility to ensure the team coordinates timely delivery of work requests
  • Coordinate in recommending clean-up and classification projects supporting IG
  • Liaise in the analysis, design and operation of automated systems and processes, business requirements definitions, workflow and procedure development supporting the above

Matter Mobility Operations

  • Coordinate work assignments with team members principally responsible for the matter mobility process domains
  • Support initiatives to drive changes in working practices and Firm culture to accelerate the adoption of efficient, cost-effective, modernized matter mobility practices
  • Meet performance, attendance and punctuality expectations of team members, proactively engage in the evaluation of performance, and take feedback on an ongoing basis
  • Assist in the guidance to Firm personnel at all levels on the firm's matter mobility processes
  • Provides operational support for projects relating to client and firm data
  • Coordinate in plans and reports progress towards goals relating to matter mobility including compliance, information management, storage and archives
  • Support recommendations for clean-up project completion and management to support firm IG policies and programs to reduce the volume of potential data for mobility
  • Drafts, reviews and presents proposals, project plans, status reports, metrics, and other information in a format and style relevant for the intended audience
  • Communicates the role's vision, annual goals and guiding principles in a variety of forums (1:1, administrative meetings, department and IG meetings, etc.)
  • Communicates directly with senior management and members of the Office of the General Counsel and other partners; states areas of concern, addresses questions, and/or resolves outstanding issues with the appropriate parties
  • Develop and maintain professional and cooperative working relationships with all staff
  • Seek to learn and share information, knowledge, training and skills
  • Meet Firm attendance and reporting requirements and policies

Transfers Process Management

  • Coordinate in the standard operating procedures in support of Incoming and Outbound Transfer requests and initiatives
  • Coordinate in relevant systems and technologies used in the support of the above
  • Coordinate in assignments for the development, review, revision and sustainment of standard operating procedures for the identification, organization, migration and import/export activities for both electronic and hardcopy files
  • Liaise coordination with OGC on the approval of releases of client data for Outgoing Transfers
  • Coordination with other IG departments on the approved receipt and ingestion of client data for Incoming Transfers
  • Help in the monitoring and metric report monthly and annually on the volume of Transfer requests, data, work effort and utilization
  • Maintain the required evidence repository of Transfer activities
  • Coordinate the annual audit of Transfer procedures to ensure compliance with Firm policies

Departures Process Management

  • Coordinate the standard operating procedures in support of Departure requests
  • Coordinate in providing end users with guidance and recommendations for data classification, clean up and filing
  • Coordinate in the ownership of relevant systems and technologies used in the support of the above
  • Maintain the required evidence repository of Departure activities
  • Liaise in the coordination with other IG department managers and wider Technology Management leadership to drive the approved Departure of data
  • Help develop, review, maintain and revise standard operating procedures in support of departure tasks and initiatives
  • Coordinate to audit annually departure procedures to ensure compliance with Firm policies
  • Liaise in the coordination with both Technology department colleagues as well as other business services departments including General Counsel, Business Intelligence, Compliance New Business, Marketing and People to obtain relevant policies, procedures, activity reports and key contacts in conjunction with departure requirements and related initiatives where requested
