AI Automation and Operations Manager

We are seeking a results-driven AI Automation and Operations Manager to modernize and automate our field service operations. In this role, you will bridge our core trade CRM (Housecall Pro), cutting-edge AI tools (Claude, ChatGPT), and website operations to create seamless customer journeys, drive revenue, and safeguard daily operations.

You will not just be using AI casually—you will be designing, building, and maintaining robust daily AI bots, dynamic service plan dispatchers, automated long-term follow-up funnels, and e-commerce integrations to power our growing business.

Compensation & Benefits:

• Starting Rate: $7 - $8 /hour

Key Responsibilities:

AI Systems & Workflow Management:

• Build, deploy, and maintain daily AI bots and automations to streamline repetitive business tasks.
• Monitor fast-changing AI trends and continuously refine existing workflows for optimal performance.
• Leverage tools like Claude, ChatGPT, Zapier, and webhooks to build intelligent automation pipelines.

Extended Follow-Up & Long-Term Customer Re-engagement:

• Develop extended follow-up workflows that bypass standard CRM limits (e.g., Housecall Pro's three-reminder cap).
• Build multi-touch re-engagement sequences (6-month to 1-year drip campaigns) to re-activate cold leads without overwhelming opt-outs.
• Ensure consistent, automated touchpoints that keep our business top-of-mind for past and prospective customers.

Operations Safeguard & Job Costing Precision:

• Implement fail-safes to catch incoming customer texts, payments, and missed leads during peak activity hours.
• Fix and optimize job tracking systems so materials ordered for specific jobs are accurately charged for precise job costing.
• Ensure real-time operational accuracy across administrative and dispatch workflows.

CRM & E-Commerce Website Integration:

• Build high-converting website funnels and connect our web platform directly to Housecall Pro.
• Build out online product catalogs so customers can browse and select items (e.g., toilets, sinks, fixtures) directly on the website, flowing seamless order data straight into our CRM.

AI Dynamic Service Plan Dispatcher & Auto-Queue:

• Automate post-job service plan distributions.
• Utilize AI logic to recognize prime and slow business periods, pushing service plan promotions during slow windows to maintain steady work volume.
• Build automated queues in Housecall Pro that generate estimates, pricing, and billing when profiles are service-ready, or route them to follow-up drips when not yet ready.

Requirements & Qualifications:

• Automation Mastery: Deep, practical experience building custom AI workflows, bots, and API/webhook integrations using tools like ChatGPT, Claude, Zapier, Make.com, or custom scripts.
• Field Service CRM Knowledge: Strong familiarity with Housecall Pro (or similar field service platforms like ServiceTitan or Jobber).
• Operational Problem Solver: Sharp focus on process accuracy, job costing, material tracking, and operational efficiency.
• Growth Mindset: Eager to stay on top of rapid AI developments and proactively suggest business enhancements.
