The Advisor Onboarding and Transitions Associate plays a key support role within the Manulife Wealth business, assisting new advisors as they join the organization and providing administrative support throughout the client onboarding process. This role also supports existing advisors across Canada with their transition needs as they progress through their lifecycle and journey within Manulife Wealth.
This position reports to the Manager, Advisor Onboarding of Manulife Wealth and directly supports the initiatives being managed and the accompanying change management.
Position Responsibilities:
- Completing large volumes of new account openings, updates, and transfer documentation with precision.
- Conducting detailed data entry across multiple systems, ensuring correctness and adherence to regulatory standards.
- Reviewing documentation for errors, missing information, or compliance deficiencies prior to submission.
- Tracking all administrative activities through logs, checklists, and workflow tools to ensure timely completion.
- Processing transfer fee reimbursements and termination-related tasks (resignations, removals, retirements) with speed and accuracy.
- Escalating exceptions or irregularities to senior team members to ensure operational integrity.
- Collecting, validating, and securely storing due‑diligence documents (compliance, legal, KYA, licensing, registration).
- Ensuring documentation meets MFDA/IIROC regulatory standards and internal controls.
- Administering advisor code changes, category changes, servicing updates, office relocations, and signage requirements.
- Executing system updates to maintain data integrity and prevent downstream issues.
- Coordinating with senior specialists on complex or high‑impact practice changes.
- Identifying items that fall outside procedural guidelines and escalating them promptly.
- Partnering with senior specialists or team leads when encountering high‑impact, exception‑based cases.
- Maintaining transparent communication with internal stakeholders through timely status updates.
- Maintaining organized/accurate trackers, logs, and workflow documentation to support transparency and team efficiency.
- Applying consistent adherence to process standards and regulatory requirements
Required Qualifications:
- Exceptional accuracy and attention to detail.
- Strong organizational and prioritization skills.
- Ability to manage deadlines in a fast-paced environment.
- Proficiency in Microsoft Office ability to learn new systems quickly.
- Experience in financial services or IIROC/MFDA firms is an asset.
- Strong service orientation and professional communication skills.
- Demonstrates specialized expertise within onboarding processes, documentation management, and advisor transitions.
- Applies established methods and procedures to execute structured work accurately and efficiently.
- Works independently on well‑defined tasks and seeks guidance for ambiguous scenarios.
- Ensures quality and completeness of work while meeting operational deadlines.
- Provides guidance to less experienced team members on routine processes.
- Supports team continuity through consistent, reliable task execution.
- Applies understanding of how onboarding and transition processes support the broader Wealth Operations function.
- Uses awareness of business context to interpret tasks and escalate appropriately.
Preferred Qualificat ions:
- Experience in the financial services industry preferably with an IIROC or MFDA firm is an asset
- Bilingual English/French skills are an asset but not required
- Experience with CRM or workflow management tools
- Familiarity with financial services or onboarding processes
- Basic understanding of compliance or document requirements (e.g., forms, KYC)
